BASIC FUNCTION:
Under the direction of the Superintendent or designee, represents the District positively by providing exceptional customer service, communication, and assistance to all those in contact at reception; operates a centralized telephone system at the District office; greets and assists District office visitors; receives, sorts, and distributes incoming, outgoing, and internal mail and correspondence; assists in the coordination, posting, and monitoring of District communications across social media platforms, District websites, and digital marquee systems to support timely and accurate dissemination of information.

DISTINGUISHING CHARACTERISTICS:
District Receptionist is distinguished from other office support classifications in that the incumbent is assigned to the District office and supports Districtwide communications on digital platforms upholding messaging consistent with District policies and branding standards.Represents the District positively by providing exceptional customer service, communication, and assistance to all those in contact at reception; utilizes welcoming non-verbal and verbal cues; provides attentive service by anticipating the needs of individuals.

Greets and assists parents, students, and other visitors providing general information regarding District programs, events, and services; screens and directs visitors to appropriate District departments, school sites, and personnel.

Supports development, posting, and monitoring of District communications across social media accounts, website platform, school web pages, and digital marquee systems.

Creates and schedules approved content, announcements, and event highlights ensuring branding, accuracy, and compliance with District messaging guidelines; assists with translation of bilingual content development; responds to basic public messages and comments following District
protocols.

Monitors community online engagement and flags concerns for supervisor review.

Operates a centralized telephone system, directing calls to appropriate personnel; receives and delivers messages; provides general information and assistance to callers as needed.

Assures visitors of the District office adhere to check-in procedures; verifies employees have employee identification card.

Maintains electronic calendar of reservations and meetings for the District office meeting rooms; prepares and distributes room reservation reports to appropriate parties; posts reservation schedule on each meeting room reserved.

Receives, sorts, and distributes incoming, outgoing, and internal mail and correspondence; assists other staff in preparing bulk mailings.

Prepares and maintains a variety of materials including forms, memoranda, queries, reports, and records.

Performs general clerical support duties including filing, scanning, duplicating, typing, assembling, and distributing a variety of materials; inputs a variety of information into computer databases.

Operates a variety of office equipment and software including a computer, copier, telephone systems, and social media applications.

Maintains confidentiality of sensitive and privileged information.

Maintains lobby area in a clean and orderly condition; organizes and updates posted materials.

Trains relief staff in operation of the telephone console and reception duties.

Will attend meetings and in-service trainings as assigned.

Performs related duties as assigned.

Any combination of experience, education, and training that would likely provide the required knowledge and abilities is qualifying. A typical combination would be the following:

EDUCATION:
Graduation from high school supplemented by course work in business or closely related field.

EXPERIENCE:
Two (2) years of increasingly responsible clerical experience including extensive public contact.
Experience managing social media, website content, or communications is preferred.

LANGUAGE REQUIREMENTS:
The ability to read, write, and speak fluent Spanish is required.

LICENSES AND CERTIFICATIONS:
None.

WORKING CONDITIONS


ENVIRONMENT:
District office reception area in direct contact with public and other District staff without direct supervision, subject to working effectively with a high volume of work and tight deadlines, and with continuously changing priorities and interruptions.

PHYSICAL REQUIREMENTS:
Employees must be physically able to perform the essential duties of a position with or without reasonable accommodation and without hazard to themselves or others.

• See to monitor public visitors, sort mail, and prepare various records on computer
• Hear and speak to exchange information with staff and the public
• Sit, stand, walk for extended periods of time
• Lift, carry, push, pull, and/or move objects weighing up to 20 pounds
• Bend, stoop, twist, and reach overhead
• Dexterity of hands and fingers to operate equipment

SCREENING PROCESS

2 - Applications will be screened to select the most qualified candidates. 

The screening process for this position, which may be subject to modification, will include some form of a(n): application screening, initial qualifications screening, documentation/certification screening, and supplemental application screening. The stated qualifications for the position represent only the minimum requirements and do not guarantee qualification for examination or placement on an eligibility list.

EXAMINATION PROCESS

3 - The examination plan will consist of:

a. Written Exam (40% of final score) - August 4, 2026
b. Biliterate Spanish Written Exam (Pass/Fail) - August 4, 2026
c. Oral Exam (60% of final score) - August 12, 2026

d. Bilingual Spanish Exam (Pass/Fail) - August 20, 2026

Examination dates may change or be canceled without advance notice. 


The examination may consist of any combination of a(n): training and experience (T&E) evaluation, written knowledge test, structured panel interview, situational judgement interview, or other type of exam of fitness for duty. All parts of the examination process are job related. A passing score must be attained on each portion of the exam to advance to the next stage and ultimate placement on an eligibility list.

EXAM PROTESTS

Protest of any part of the exam process must be in writing and submitted to the Personnel Director no later than five (5) working days from the date you participated in the exam. Any protest must include rationale to support the protest and shall include supporting documentation or references. Protests must be based on illegal discrimination, abuse of discretion, or procedure/process error. Protests should NOT be based on receiving unexpected results. We cannot be responsible for lost mail, misdirected mail, or failure of mail to be delivered after it has been entrusted to the U.S. Postal Service.

ESTABLISHMENT OF ELIGIBILITY

Candidates who are successful in all screening and testing stages will be placed on an eligibility list. Typically, an eligibility list for a classification expires after one (1) year. Candidates on the expired eligibility list are no longer considered for positions within the class. Eligibility lists may be extended beyond one year or expire sooner than one year. Eligibility lists may be merged, in which case candidate ranks may change.

SELECTION PROCESS

Candidates on the eligibility list will be called in rank order to participate in final selection interviews with the hiring manager until three ranks of candidates have accepted the invitation to interview. Ranks may include ties so more than three candidates may be called to interview for one vacancy. Please note that candidates will be removed from the eligibility list for declining the invitation to interview more than three (3) times.

OFFERS OF EMPLOYMENT

Official offers of employment are ONLY made by the Bassett Unified School District Personnel Commission office. Offers are subject to satisfactory completion of ALL the pre-employment processing including: successful completion of a drug test, tuberculosis examination, fingerprint clearance by the California Department of Justice, and proof of eligibility to work in the United States.

ADVANCED STEP PLACEMENT

All new regular classified employees shall be paid in accordance with the salary range established for the class to which assigned. Initial placement will normally be the first step of the salary range. However, a new employee may receive advanced step placement with an approval from the Personnel Commission. Requests for advanced step must be submitted in writing to the Personnel Commission office before the employee's first day of work. 

Approval will be based on the following criteria:

a. Additional qualifying experience beyond that required for entry into the class.

b. Additional education at the college level when related to the position, beyond the established educational requirements for entry into the class.

c. Evidence of currently receiving a salary greater than the first step of the salary for the classification.
