You will be the "glue" between our curriculum team and our community, ensuring every event runs with high-touch professionalism and logistical precision.
Key Responsibilities
Event & Program Operations
- Logistics Management: Coordinate all event-related travel and accommodations, including organizing hotel blocks for presenters, attendees, and vendors.
- On-Site Execution: Provide dedicated support during event cycles, serving as the "on-call" lead for registration, on-site logistics, and real-time troubleshooting.
- Communications Hub: Manage the event communications inbox and phone lines, serving as the primary point of contact for attendee and presenter inquiries.
- Stakeholder Relations: Act as the liaison for vendors and guest presenters, including the generation of SOWs (Statements of Work).
- Web & CRM Maintenance: Utilize WordPress to build out event-specific pages (like FAQ guides) and maintain accurate records via consistent CRM updates.
- Asset Coordination: Partner with marketing to manage social media updates and the deployment of marketing assets for upcoming programs.
- Data Management: Oversee the registration process, ensuring all attendee changes and updates are handled seamlessly.
- Compliance: Manage the generation and distribution of CEC certificates, ensuring all program participants meet the necessary compliance standards.
- Post-Event Reporting: Lead the financial reconciliation process after each event to ensure budgets are met and reported accurately.
Qualifications & Requirements
- Technical Savvy: Proficiency in WordPress and experience managing CRM systems is required.
- Organizational Mastery: Exceptional ability to manage multiple moving parts—emails, phone calls, and logistics—without losing a polished, human-centric tone.
- Availability: Ability to travel 25% (both domestic and some international) to support program teams on-site.
- Reliability: Willingness to be "on-call" for the duration of live events to ensure a seamless attendee experience.
- Work Authorization: Must be authorized to work in the U.S. without the need for visa sponsorship now or in the future.
