H I R I N G | Event Coordinator

The Dante Event Center is a premier, full-service event venue that has provided over 61 years of “I Do’s”, special events and meetings to the Sacramento community. Our experienced banquet and event coordination team offers customized event planning assistance from the beginning planning stages of event design and detailing, to day of implementation.

The focus of the Events Coordinator is to provide outstanding client service based programs. The appropriate candidate will have a proven track record of exceeding in an Event Venue and banquet environment. They must provide excellent event coordination, banquet direction and manage conflicts with professionalism, while showing good judgment, empathy and responsibility.

The Events Coordinator is responsible for coordinating with the Banquet and set-up staff in conjunction with the Banquet Captain to assure that all banquets, meetings, etc., provide high levels of member/guest service and satisfaction. They will work directly with our Executive Chef and will be supervised by the General Manager. Event Coordinator's responsibilities and duties include meeting with the General Manager, Executive Chef and Finance Manager to discuss operation of the Dante Event Center; marketing and knowledge of industry percentages, standards, staffing, maintenance and appearance of equipment and buildings and such other duties as directed by the General Manager.

Able to handle multiple responsibilities at one time, effectively communicate verbally and in writing, possesses excellent computer skills, and has the ability to create and maintain positive relationships with fellow co-workers and members/guests.

Job Description:
Event Coordinator Responsibilities

  • Proficient in Microsoft Office & Social Media Platforms (i.e. Instagram, Facebook)
  • Assist/Lead client meetings and offer guidance throughout planning process
  • Collect and process payments, update invoices
  • Maintain communication and relationships with clients through proper channels
  • Enter and maintain all data - Keeping all timelines, calendars, layouts, files updated
  • Set and attend catering meetings with clients
  • Set and attend design and decor meetings with clients
  • Coordinate timelines of all vendors for events
  • Manage receivables
  • Serve as "Day of Coordinator" for Weddings, Special Events and Meetings as required
  • Supervising banquet staff members in conjunction with the Banquet Captain as directed by the General Manager & Executive Chef
  • Ensure all details entered into Reserve system and noted in Banquet Event Order
  • Attend weekly team meetings to ensure all details are correctly annotated and communicated
  • Answer phones as needed - Perform other office tasks as needed
  • Attend Trade Shows/Wedding Shows/Industry mixers as needed
  • Assist the General Manager & Finance Manager as needed
  • Participate in Social Media Marketing/Email Campaigns
  • Participates as needed in the orientating, training and development of personnel in his/her/their area of responsibility
  • Coordinates and motivates the efforts of personnel in his/her/their area of responsibility
  • Identifies needs for disciplinary action and recommends appropriate action to the General Manager
  • Ensures prompt, courteous food and beverage service throughout banquet by assigning banquet servers to designated areas
  • Observe guests throughout function and responds immediately to any additional requests
  • Responds to and resolves or refers any guest needs
  • Inspects function rooms and equipment prior to the functions for cleanliness, proper inventory and set up
  • Responds to operational and/or guest issues when necessary, ensuring proper follow through with General Manager
  • Wears appropriate uniform and attire and maintains personal hygiene and cleanliness of banquet rooms
  • Communicates effectively with customers, co-workers and management, notifying management of all matters of significance through proper channels
  • Provides value added service to customers by doing whatever is reasonable and possible to meet or exceed customer expectations
  • Assures that all rooms are set up as specified and on time
  • Coordinates with the kitchen to assure food is ready on time
  • Works with the General Manager to facilitate events as well as maintain facility standards
  • Ensure seamless transition to Banquet staff at departure of event
  • Maintains inventory and operational procedures of all audio-visual equipment.

Required education:

  • High school diploma or equivalent
  • Desired Skills & Knowledge: 1-2 years experience or training in marketing or sales preferred, but willing to make exceptions for the right candidate

Requirements:

  • Wedding Coordination and/or Event Planning experience is required as this is not an entry-level position
  • Three years experience in Food & Beverage Industry as this job works in conjuntion with our Catering Department
  • Background in wedding and event industry
  • Banquet serving experience required, banquet leadership or supervisory experience a bonus
  • Experience in customer service or other people-oriented fields desired
  • Exceptional organizational and project management skills
  • Exceptional Computer, Microsoft Office, & Communication skills
  • Ability to work independently and within a team environment
  • Able to lead a team on event days
  • Desire to succeed and bring new ideas
  • Must be available to work weekends, nights and holidays
  • Reliable Transportation
  • Willing & able to lift objects & setup for events (chairs, tables, linens, favors, etc.)
  • Professional Dress required

Qualifications:

  • State required alcohol seller server certification and food handling certification
  • Requires ability to frequently lift/move up and beyond 40lbs
  • At least one year Banquet Server experience

Physical Demands:

  • Must be able to frequently sit, stand, bend, kneel, walk and crouch
  • Ability to lift 40 lbs. or more, and to lift overhead and push/pull, move lighter objects
