Job Title: Office Manager
Location: East Hartford, CT
Schedule: Monday–Friday, 8:00 AM – 5:00 PM (on-call availability as needed)
Position Summary
The Office Lead is responsible for the overall operation of the office, including the custody and maintenance of patient account records, sales reports, and the supervision and training of accounts receivable and customer service personnel. This role serves as a key liaison between staff and leadership and ensures efficient office operations, compliance with company policies, and high-quality customer service.
Key Responsibilities
- Oversee and manage general office procedures and policies
- Evaluate and improve workflow, including paper flow and processing for customer service and accounts receivable/billing
- Supervise accounts receivable billing staff and customer service personnel, including a supervisor if designated
- Ensure personnel policies are established, implemented, and followed
- Interview, recommend for hire, and oversee onboarding, orientation, and training of clerical staff
- Initiate disciplinary actions when necessary and consult with HR regarding reprimands or terminations
- Establish priorities, delegate work, and follow up to ensure timely completion of tasks
- Obtain, review, and verify billing information for accuracy and completeness; oversee claims submission
- Manage computer input, summaries, monthly reports, and month-end processing
- Communicate with patients, referral sources, and insurance agencies to resolve billing or reimbursement issues
- Conduct routine employee evaluations and maintain personnel files
- Serve as a liaison between staff and management
- Ensure clerical staff compliance with company policies and procedures
- Assist accounts receivable and customer service personnel as needed
- Prepare regular and special reports as requested
- Establish and maintain quality standards for office personnel
- Perform additional duties as assigned by the General Manager
Qualifications
- Mandatory: 4 Year college degree or 10 years of medical billing
- Graduation from an accredited high school with emphasis on business courses. Business school certificate preferable.
- Previous experience in office management, healthcare administration, or a related field preferred
- Two years experience in general accounting functions of a medical or home health care office.
- Thorough knowledge of office records development, maintenance and control.
- Basic computer skills and knowledge.
- Knowledge of Medicare, Medicaid, and private insurance requirements and procedures.
- Ability to develop, organize, and coordinate paperwork flow.
- Ability to communicate clearly, both orally and in writing and to work effectively with a wide range of people, including referral sources, patients/clients, service agencies, co-workers, and management
- Strong leadership, organizational, and communication skills
- Knowledge of accounts receivable, billing processes, and insurance reimbursement
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with office systems, reporting, and computer-based workflows
Compensation & Benefits
- Base Salary: negotiable
- Paid Time Off:
- 10 days of paid vacation after 120 days
- 5 days of paid sick leave after 120 days
- Bonuses: Eligible for manager bonuses 15k based on department performance
