The Deitch family has been servicing Hartford homes since 1910, providing fuel delivery, heating, and air-conditioning services to generations of local families. As we continue expanding our 24/7 service coverage, we’re looking for a dependable, detail-oriented Office Manager / Administrative Support Specialist to join our team and help keep our operations running smoothly.
You will work closely with our service manager, bookkeeper, and members of the Deitch family. This role includes your own private office and the opportunity to help modernize and streamline our internal systems.
Position Summary
The Office Manager is responsible for ensuring that the office, showroom, and administrative functions operate efficiently. You will support management with daily operations, scheduling, light bookkeeping, and communication with vendors, customers, and partners. This is a hands-on, multi-functional role ideal for someone who thrives in a fast-paced, family-run environment.
Key ResponsibilitiesOffice & Administrative Operations
- Oversee day-to-day office operations and administrative activities
- Maintain an organized and efficient office
- Manage office maintenance, facility needs, and vendor relationships
- Implement and maintain office procedures, systems, and workflow improvements
- Serve as primary point of contact for internal and external partners, including insurance agents, building management, and vendors
- Provide executive administrative support, including marketing and communications tasks as needed
- Assist team members to meet operational objectives
Scheduling & Communications
- Calendar management and appointment scheduling (We don't currently do this and would love someone to implement a system!)
- Support management in tracking business objectives and deadlines
- Ensure clear communication across departments and with customers
Bookkeeping & Financial Duties
- Assist bookkeeper with light duties
- Maintain organized filing of all financial and administrative documents
Skills & Qualifications
- 2–3 years of experience as an Office Manager, Administrative Manager, or similar role
- High school diploma, GED, or equivalent required
- Strong proficiency in Microsoft Office (Excel, Word, Outlook)
- Ability to learn QuickBooks, CRM platforms, and industry-specific software
- Experience with a service business preferred
- Exceptional organizational, time-management, and leadership skills
- Strong written and verbal communication skills
- Ability to manage budgets, track expenses, and follow financial compliance
- Self-motivated team player with excellent attention to detail
- Professional, reliable, and able to maintain strict confidentiality
