Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and patient check-in procedures to ensure efficiency and professionalism.
- Manage appointment scheduling, calendar coordination for medical staff, and coordinate patient flow to optimize clinic productivity.
- Supervise administrative staff, providing training and development opportunities to enhance team performance and morale.
- Handle vendor management by negotiating contracts, processing invoices, and maintaining strong relationships with suppliers of medical supplies and office services.
- Oversee bookkeeping, payroll processing with Quickbooks or payroll company, budgeting, and basic financial record-keeping to ensure accurate financial management.
- Coordinate human resources functions such as onboarding new employees, facilitate EHR training, managing employee records, and ensuring compliance with workplace policies, etc.
- Organize office events and community outreach initiatives through event planning to promote a positive practice environment.
- Maintain filing systems, manage confidential records, and ensure compliance with healthcare regulations related to medical office management.
- Implement efficient office procedures to streamline clerical tasks like data entry, document preparation, and record keeping.
Experience
- Proven supervisory experience in an office setting, ideally within a healthcare or medical environment.
- Strong background in office management with demonstrated skills in schedule management, vendor relations, and team leadership.
- Proficiency in QuickBooks for financial tasks such as payroll processing and bookkeeping (preferred not required).
- Experience with human resources functions including training & development and employee onboarding.
- Excellent organizational skills with the ability to multitask effectively in a dynamic environment.
- Familiarity with medical office procedures, front desk operations, multi-line phone systems, and calendar management is highly desirable.
- Effective communication skills paired with professional phone etiquette to foster positive interactions with patients and staff alike.
