Summary
The Special Assets Support Specialist provides administrative and portfolio support to the Special Assets Department. This role ensures efficient management of loan documentation, reporting, and customer correspondence, while assisting Special Assets Officers in monitoring and servicing distressed or problem loans.
Specific Job Functions
- Prepare correspondence, memos, and internal reports for the Special Assets team.
- Maintain organized electronic and physical loan and credit files, ensuring compliance with bank policy and regulatory requirements.
- Schedule meetings, coordinate calendars, and prepare materials for Impairment committee or workout meetings.
- Monitor tickler systems to track required financial reporting, collateral documentation, and covenant compliance.
- Assist Special Assets Officers with setting up and maintaining loan files for transferred/problem credits including preparation of files to be sent to 3rd parties for collection action.
- Order and track appraisals, environmental reports, and other due diligence documents.
- Enter and update loan information in the bank’s core systems; verify data accuracy.
- Monitor overdrafts, past dues, and exceptions, escalating issues as appropriate.
- Prepare periodic portfolio reports (e.g., delinquency status, charge-off tracking, recovery efforts).
- Serve as a liaison with loan operations, legal, credit administration, and other departments as well as external vendors to facilitate transactions.
- Respond to internal or external inquiries regarding payments, statements, and general information.
- Draft and send borrower communications as directed (demand letters, payment reminders, covenant notices).
- Support department projects, audits, and regulatory exams by gathering requested documentation.
- Assist in gathering and preparation of documentation as part of the SBA Liquidation Process
- Assist with monitoring and transactions related to the Bank’s ORE or Repossessed Assets.
Minimum Job Requirements
- High school diploma or equivalent is required.
- 3 - 5 years of experience in banking is required.
- Experience in loan administration, loan operations, or portfolio management support is preferred.
- Some knowledge of Foreclosure, Bankruptcy and SBA lending/liquidations also preferred.
- Familiarity with loan documentation, collateral requirements, and regulatory compliance.
- Strong organizational skills with ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and banking systems.
