Minimum Requirements (Top 3–5)
- Education: High school diploma, GED, or equivalent.
- Communication Skills: Strong verbal and written communication; ability to interact professionally with customers.
- Customer Service Experience: Prior experience in a customer-facing role (phone, email, or in person).
- Technical Skills: Basic proficiency in computer systems, data entry, and common office software.
- Interpersonal Skills: Ability to remain positive, empathetic, and professional when handling customer concerns.
Preferred Qualifications (Top 3–5)
- Industry Knowledge: Familiarity with optical/ophthalmological products and services.
- CRM / ERP Experience: Hands-on experience with Great Plains, Zoho, SAP, or similar systems.
- Problem-Solving Ability: Skilled in analyzing issues, identifying solutions, and handling escalations calmly.
- Multitasking & Organization: Ability to manage multiple priorities with accuracy and attention to detail.

General Function
The primary focus of this position is to represent the company by delivering top-quality service to customers. Responsibilities include answering phones, responding to emails, coordinating shipping, following up on inquiries, and performing other assigned duties.
Major Duties & Responsibilities
Customer Service
- Maintain a positive, empathetic, and professional attitude toward customers.
- Respond promptly to customer inquiries via phone, email, and other channels.
- Acknowledge and resolve customer complaints effectively.
- Develop strong product knowledge to provide accurate information.
- Keep detailed records of customer interactions, transactions, and complaints.
Order Processing & Account Management
- Process orders, forms, applications, and requests accurately.
- Enter sales into Great Plains with detailed notes for staff reference.
- Manage customer accounts, including creating new accounts and updating information.
Shipping & Inventory
- Pick, pack, wrap, label, and stage outbound shipments for customer pickup or carrier dispatch.
- Enter shipping information into the database and coordinate with departments.
- Uphold quality guidelines and implement best practices for shipping and receiving.
- Accurately process incoming shipments, record goods in Great Plains, and resolve discrepancies.
- Upload documents into Metaviewer and complete daily “End of Day” processes.
- Monitor consumable inventory, create procurement lists, and coordinate with purchasing/operations.
- Label, stock, and maintain accurate inventory records.
- Suggest process improvements for inventory management.
- Participate in physical inventory counts and reconcile discrepancies.
- Adjust inventory levels as needed and promptly report issues.
Administrative & Team Support
- Manage purchasing emails and related tasks.
- Assist with training temporary staff on Great Plains, Metaviewer, and StarShip.
- Perform general office duties as assigned.
Basic Qualifications

Pay: $20.00 - $22.00 per hour
