Accounts Payable Specialist

Avo Photonics (www.avophotonics.com) is a dynamic contract engineering services company that designs, develops, and manufactures custom opto-electronic products for a large customer base. Members of our staff can design, prototype, and produce next generation products for a diverse range of markets including environmental, medical, military, industrial, aerospace, and communications.

We seek a diligent, dedicated, and meticulous Accounts Payable Specialist who will help to further our success and reputation in the industry through world-class customer service. The successful candidate must plan his/her own work schedule, keep multiple records, be self-motivated, maintain a professional presence, and have the desire to take ownership of projects.

Responsibilities:

• Receive, review, and process high volume of invoices promptly and efficiently, including obtaining all necessary approvals & support.
• Accurately enter invoice details into the accounting system, ensuring completeness and accuracy of information.
• Prepare and process payment batches, including checks, ACH transfers, and electronic payments, in accordance with payment terms and company policies.
• Manage vendor accounts, including communication regarding payment inquiries, discrepancies, and account reconciliations.
• Coordinate with Purchasing & Receiving departments to obtain required supporting documentation
• Ensure compliance with company policies, accounting principles, and relevant regulations in all accounts payable activities.
• Identify process improvements for efficiency and collaborate with team members to implement solutions.
• Generate and analyze accounts payable reports to provide insights into vendor performance, payment trends, and other relevant metrics.
• Provide ad hoc support to the Finance team and assist with special projects as assigned.

Requirements:

• Associate’s degree or higher in Accounting
• 3 years’ experience in accounts payable or similar role, with a solid understanding of accounts payable processes and principles; manufacturing industry experience preferred.
• Proficiency in Excel and ERP software, SAP preferred
• Strong attention to detail, along with excellent organizational and time management skills
• Strong sense of accountability and process ownership
• Effective problem-solving abilities and flexibility in a dynamic work environment
• Excellent verbal and written communication skills
