Avidian Wealth | Operations Team
We are seeking a Sr. Administrative Associate who will play a critical role in shaping both the client experience and operational consistency across our offices. This role goes beyond traditional administrative support. It requires ownership, attention to detail, and the ability to proactively manage an office environment while coordinating across multiple locations.
What You’ll Do
- Client Experience and Front Desk Leadership
- Serve as the first impression of the firm for clients, visitors, and team members
- Ensure a professional, welcoming, and polished office environment at all times
- Manage incoming calls and visitor flow with accuracy and professionalism
- Office Operations and Environment Management
- Maintain a highly organized, efficient, and fully functional office environment
- Coordinate with building management and vendors to resolve maintenance issues
- Ensure all shared spaces are consistently clean, stocked, and client-ready
Vendor, Supply and Multi-Office Coordination
- Manage office supply inventory and ordering for the primary office
- Act as a liaison across Avidian office locations to coordinate supply ordering and ensure consistency
- Establish and maintain standardized supply processes across offices
- Manage vendor relationships and identify opportunities for cost savings and efficiency
- Administrative and Operational Support
- Coordinate meeting logistics, including room setup and catering
- Respond to internal requests promptly and follow through to completion
Process Improvement and Team Support
- Identify opportunities to improve administrative processes and office operations
- Support consistency and efficiency across teams and office locations
- Contribute to a positive, solutions-oriented team environment
