Job Title: Part-Time Administrative Assistant – Payroll & Accounts Payable
Location: Iselin, NJ

We are a fast-paced, multispecialty medical practice dedicated to delivering high-quality patient care and operational excellence. We are seeking a reliable and detail-oriented Part-Time Administrative Assistant to support our Practice Administrator in daily administrative operations, payroll processing, and accounts payable tasks.

Position Overview

The Administrative Assistant will play a key role in ensuring the smooth functioning of the administrative and financial operations of our practice. This role directly supports the Practice Administrator and requires strong organizational skills, accuracy, and the ability to manage multiple priorities in a busy environment.

This is a part-time position with flexible scheduling options for the right candidate.

Key Responsibilities

Administrative Support

  • Assist the Practice Administrator with day-to-day tasks and operational needs.
  • Prepare, organize, and maintain administrative documents and files.
  • Support internal communication and coordination between departments as needed.

Payroll Duties

  • Process bi-weekly or semi-monthly payroll accurately and on time.
  • Verify timecards, monitor attendance records, and input payroll data.
  • Assist with employee payroll inquiries and resolve discrepancies.

Accounts Payable

  • Enter vendor invoices into accounts payable software.
  • Verify invoice accuracy, coding, and supporting documentation.
  • Assist with maintaining vendor records and reconciling statements.
  • Support month-end closing processes related to accounts payable.

Qualifications

  • Prior administrative experience required; experience in a medical or multispecialty setting preferred.
  • Experience with payroll processing (ADP, Paychex, or similar systems a plus).
  • Experience with accounts payable software or financial management systems.
  • Strong attention to detail with excellent organizational skills.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Strong communication and customer service skills.
  • Ability to work independently and efficiently in a fast-paced environment.
