Job Title: Automotive Accounts Payable Specialist

Reports To: Controller or Office Manager
Position Summary
The Automotive Accounts Payable Specialist is responsible for processing and maintaining all dealership accounts payable transactions accurately and efficiently. This position ensures timely payment of vendor invoices, reconciles statements, maintains vendor records, and supports the dealership’s accounting operations while adhering to company policies and automotive industry standards.
Essential Duties and Responsibilities
- Review, verify, and process vendor invoices for payment.
- Match invoices to purchase orders and receiving documents.
- Code invoices to appropriate general ledger accounts.
- Prepare and process weekly check runs, ACH payments, and wire transfers.
- Reconcile vendor statements and resolve discrepancies promptly.
- Maintain accurate vendor files, including W-9 forms and payment information.
- Communicate with vendors regarding payment status, account inquiries, and discrepancies.
- Process parts, service, vehicle inventory, and other dealership-related invoices.
- Ensure compliance with dealership policies, accounting procedures, and internal controls.
- Assist with month-end closing activities, including account reconciliations and accruals.
- Prepare reports related to accounts payable activities.
- Support audits by providing requested documentation and records.
- Collaborate with department managers to resolve invoice and purchasing issues.
- Maintain confidentiality of financial information.
Qualifications
Education
- High school diploma or GED required.
- Associate degree in Accounting, Finance, or Business preferred.
Experience
- 1–3 years of accounts payable experience required.
- Automotive dealership accounting experience preferred.
- Experience with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, Tekion, etc.) preferred.
Skills and Abilities
- Strong attention to detail and accuracy.
- Knowledge of accounts payable processes and accounting principles.
- Proficiency in Microsoft Excel and accounting software.
- Ability to manage multiple priorities and meet deadlines.
- Strong organizational and problem-solving skills.
- Effective verbal and written communication skills.
- Ability to work independently and as part of a team.
Pay: $18.00 - $30.00 per hour
