The Dispatch Assistant supports the daily coordination of field service operations during the company’s active season. This role ensures timely and efficient scheduling of pesticide technicians, accurate routing, and clear communication between office staff, field teams, and customers. The position is critical to maintaining service quality and operational flow during peak mosquito and tick control months.
Key Responsibilities
Scheduling & Routing
- Assist in creating and updating daily technician schedules and service routes.
- Monitor real-time technician progress and adjust routes as needed.
- Communicate schedule changes promptly to field staff and customers.
- Serve as a liaison between office staff, field technicians, and customers.
- Respond to incoming calls, emails, and service requests.
- Relay service instructions, property notes, and treatment details to technicians.
- Input service appointments, customer notes, and treatment records into scheduling software.
- Maintain accurate logs of completed services and technician hours.
- Track pesticide usage and technician coverage areas for reporting.
- Assist with additional assignments and special projects as needed.
- Confirm appointments and notify customers of technician arrival windows.
- Handle basic customer inquiries and escalate complex issues to appropriate staff.
- Provide updates on service delays, rescheduling, or weather-related changes.
- Assist with technician dispatch at start of day and check-in at end of day.
- Support inventory tracking and equipment assignments as needed.
- Contribute to daily operational reports and performance summaries.
- High school diploma or equivalent required; associate degree preferred.
- Prior experience in dispatch, scheduling, or customer service (preferred).
- Strong organizational and multitasking skills.
- Proficiency in scheduling software, GPS routing tools, and Microsoft Office.
- Clear and professional communication skills.
- Ability to work in a fast-paced, seasonal environment.
- Familiarity with pest control services or field operations is a plus.
- Office-based role with occasional outdoor coordination.
- Seasonal position active March through September.
- Hours are not guaranteed or fixed and will fluctuate based on workload, route volume, and seasonal needs.
- May require early morning or occasional weekend hours during peak season.
- Work is performed in an office environment
- Ability to exert up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects
- May be required to sit, stand, or walk for extended periods of time
- Involves extended periods of looking at a computer monitor
- Must be able to see, hear, talk, and type
