Description
AUO Corporation America is looking for a talented Office Administrator to join our growing Administration team in Farmington, MI. We are specifically interested in those candidates who have any kind of event planning/management experience. This individual will play a pivotal role in managing various aspects of the office and event operation. The ideal candidate will possess a strong understanding of office operation and event planning/execution, excellent interpersonal skills, and the ability to manage multiple tasks with efficiency and precision. This person would work alongside our current Office Manager.
Requirements
The role has 3 key aspects:
- To work under the direction of HQ/US senior director and other department managers, to assist with all phases of the production of each exhibition.
- Exhibition organizer (e.g., CTA & SID) communication under the direction of the Senior director.
- General office administration and support to assist with the daily running of the office.
Key responsibilities:
Event admin
- Coordinating flight & accommodation bookings for staff and delegate travel.
- Assisting with the co-ordination of events & activities relating to the exhibition, including exhibits shipping, import/export procedures, catering management, and booth duty.
- Sourcing quotes and liaising with contractors.
- Other administrative tasks as required by the organization in the context of the successful delivery, promotion and management of the exhibition and other projects.
- The role requires travel approximately 1 weeks in January and May to work on the CES & SID Display week Exhibition (with all travel and share accommodation expenses covered)
General affairs
- Manages the office work environment and office products for all offices and plants: Office supplies, equipment (printer, water purifier, coffee machine), fixed assets, etc.
- Effectively negotiate, and periodically review contracts for office services and equipment.
- Coordinates the repair and maintenance of office equipment, to include making recommendations to order new equipment as needed.
- Purchases Supervise routine and non-routine office purchases such as stationery, Workstation and facility, and other new office facilities and make sure the stock is sufficient, housekeeping stock requests, material & facility, including maintenance. Also, maintains good relationships and negotiates with vendor while, increasing suppliers' option.
- Designs and Administers the Company's Internal Travel Program.
- Sets up the work environment for New Hires such as name tags, drawer keys, badges, etc.
- Work environment improvement activities such as handling employee complaints w/ improvement activities.
- Coordinates with incoming Expatriate Team Members to assist in obtaining housing, utilities, social security cards, drivers licenses, and school admission for expatriate children.
- Other tasks as assigned.
Essential Criteria:
- Strong written and verbal communication skills
- Computer experience and a solid working knowledge of Microsoft Office programs
- Previous practical experience in events /education/ similar qualifications in Show Administration, Event Management or related fields
- Experience in providing administrative support
- Full Driver License
