The Insurance Coordinator is responsible for verifying and maintaining vendor insurance coverages by reviewing Certificates of Insurance, managing policy renewals, and ensuring adherence to TopHAT insurance requirements. This role involves working closely with vendors, insurance agents, and internal teams to address deficiencies, process approvals, and maintain accurate records.
Key Responsibilities:
- Review and approve insurance coverages by verifying Certificates of Insurance (COIs) with TopHAT insurance requirements while working with TopHAT staff, common carriers, and insurance agents. Address deficiencies and escalate issues as needed.
- Monitor and manage policy renewals by tracking expiring policies, notifying relevant parties, and ensuring updated COIs are received and compliant.
- Monitor specialty insurance program policies/reporting for accuracy.
- Maintain records by organizing and updating insurance-related documentation in SharePoint, 3rd party monitoring systems and email folders while ensuring all records are accurate and accessible.
- Process and organize insurance mail by opening, scanning, and prioritizing insurance-related mail while ensuring critical documents are reviewed and stored appropriately.
- Other duties may be assigned.

Employment Type & Hours:
- Full-time position that will consist of 40 hours per week.
- Hours are 8:00am to 5:00pm, M-F
- Hybrid - 2 days in office; 3 days WFH
- Possible overtime during peak season

Qualifications
What You'll Need:
- High School Diploma/GED
- 2-4 years of work-related experience, and/or equivalent combination of both education and experience are required.
- Experience in commerical insurance, risk management, or document verification preferred
- Familiarity with insurance terminology
