They are looking to hire an Executive Assistant to join their team and provide support to multiple executives within the firm. The ideal candidate will be responsible for managing complex schedules, preparing reports, and coordinating travel arrangements. Responsibilities
- Calendar: Organize details of internal and external meetings, special events, conference calls, and conferences. This includes reserving rooms; placing catering orders; creating client-related agendas; creating and printing, mailing, or emailing presentation materials associated with meetings.
- Travel & Expense: heavy international and domestic travel, submitting and reconciling all expenses, check requests
- Client reporting: update presentation materials and excel spreadsheets, send reports to clients as needed.
- Ad hoc projects and requests will form a large part of the responsibilities associated with this role. A willingness to be flexible and juggle multiple deadlines simultaneously is important.
- Photocopying, scanning, printing or binding documents, utilizing support from resources where appropriate.
- Organizing or maintaining files for both electronic and hard copy documents.
Qualifications
- Bachelor's degree or equivalent experience.
- Proficient in Microsoft Office Suite.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
- Strong written and verbal communication skills.
