Legal Billing SpecialistJob Type: Full-Time | On-Site or HybridExperience Level: Mid-Senior (3–7 Years)Department: Accounting / FinanceReports To: Billing Manager or Director of Finance About the RoleWe are seeking a detail-oriented and experienced Legal Billing Specialist to join a dynamic law firm environment. This is a key operational role responsible for managing the full billing lifecycle — from timekeeper entry review through invoice delivery and collections follow-up. The ideal candidate brings deep familiarity with law firm billing systems, client billing guidelines, and the pace and precision that legal finance demands. What You'll Do• Prepare, review, and process a high volume of client invoices in compliance with individual client billing guidelines and outside counsel requirements• Audit pre-bills for accuracy, including rate validation, narrative edits, time entry compliance, and write-downs/write-offs as directed by billing attorneys• Coordinate with attorneys, secretaries, and finance team members to resolve billing discrepancies and ensure timely invoice delivery• Manage electronic billing submissions through e-billing platforms (e.g., Aderant, Elite/3E, BillBlast, TyMetrix, Legal Tracker, Collaborati, or similar)• Monitor accounts receivable aging and assist with collections outreach — following up with clients on outstanding invoices and escalating as appropriate• Track and apply retainer balances, trust funds, and on-account payments• Respond to client billing inquiries with professionalism and a service-oriented approach• Maintain accurate client and matter billing setup, including rate schedules, billing preferences, and special arrangements• Assist with month-end and year-end close processes, including WIP analysis and billing reports• Support audit requests and ad hoc financial reporting as needed What You Bring• 3–7 years of legal billing experience in a law firm setting (experience at an AmLaw 200 firm a strong plus)• Hands-on proficiency with legal billing software — Aderant, Elite/3E, or comparable platforms strongly preferred• Solid working knowledge of e-billing portals and outside counsel billing guidelines• Strong understanding of billing concepts: WIP, A/R, retainers, write-downs, and matter management• Exceptional attention to detail with the ability to manage a large and varied billing portfolio• Ability to work under deadline pressure, particularly at month-end, with a high degree of accuracy• Strong communication skills — comfortable interfacing with attorneys and clients directly• Proficiency in Microsoft Excel; experience with reporting tools or financial dashboards is a plus• Team player who can also work independently and take ownership of their book of clients Nice to Have• Experience with international billing or multi-currency invoicing• Familiarity with collections processes and escalation protocols• Prior exposure to billing guideline compliance reviews and rate negotiations
