REPORTS TO: Senior Manager, Housing Choice Voucher (HCV) and Occupancy
EMPLOYMENT STATUS: Full Time
SALARY: $36,000 - $40,000
SUMMARY OF POSITION
Under direction, the Administrative Office Support II performs administrative, clerical and related work. The position is responsible for providing customer service, and general clerical support. The position includes interaction with staff, residents, applicants, landlords, and the general public, ensuring professional communication and efficient office operations in accordance with agency policies and procedures.
MAJOR RESPONSIBILITIES
- Assist program clients and landlords with program information
- Manage HCV program records and file room
- Collect data and perform data entry of housing application and applicant updates
- Assist with all correspondence related to housing inspections, including scheduling of inspections
- Assist with program briefings
- Prepare necessary reports
- Provide accurate information to residents, applicants, landlords, and the public regarding housing programs, policies, procedures, and required documentation
- Address routine inquiries and issues, referring more complex matters to appropriate staff
ADDITIONAL REQUIREMENTS
An acceptable general background check to include a local and state criminal history check. You must possess a valid driver’s license with an acceptable driving record.
- Ability to utilize various types of electronic and/or manual recording and information systems used by the agency, office, or related units
- Ability to provide general support to ensure efficient operations
- Ability to follow supervisor’s directives and established procedures
EDUCATION AND EXPERIENCE
- High School Diploma or GED required
- Three (3) years of experience in clerical work, preferably in a public agency
- General knowledge of office operations, professional workplace conduct, and customer service standards
LICENSE REQUIREMENTS
- Appointees must possess a valid New Jersey driver's license when vehicle operation is required for essential job duties.
NOTE: The responsibility for ensuring that employees possess the required motor vehicle license, commensurate with the class and type of vehicles they operate, rests with the Appointing Authority.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job. Position may require frequent standing, stretching, bending, stooping, squatting, walking, pushing and pulling, and lifting of objects weighing up to 25 pounds or more.
