Job Description
The Facilities Coordinator provides day-to-day operational support for a headquarters facility by monitoring performance, coordinating a small team of multi-skilled operatives, and ensuring vendors and contractors deliver services to agreed standards. This contract role runs through 09/30/2026 (subject to client transition changes) and focuses heavily on computer-based work, including email communication, dispatching, and closing work tickets in a fast-paced, customer-focused environment. The Facilities Coordinator builds strong relationships with internal stakeholders, landlords, managing agents, and facilities vendors to ensure the building remains safe, compliant, and in excellent working condition.
Responsibilities
This is a contract role with an anticipated end date of 09/30/2026, subject to any changes in client transition timelines. The position follows a Monday through Friday schedule from 9:00 a.m. to 5:00 p.m. and is based in a headquarters facility that operates in a very fast-paced, service-oriented environment. The role is computer-intensive, requiring extensive use of email, Microsoft Word, Excel, Outlook, internal financial management platforms, and work ticketing systems. The Facilities Coordinator works closely with a small team of multi-skilled operatives, vendors, contractors, landlords, and managing agents, and regularly conducts on-site inspections, assessments, and audits. The work involves both office-based tasks and on-site facility checks to ensure the building remains safe, orderly, and in good working condition. The interview process typically includes a first-round virtual interview followed by a second-round in-person interview.

Responsibilities
- Monitor the performance of and coordinate a small team of multi-skilled operatives to ensure timely and accurate completion of tasks.
- Develop and maintain close working relationships with key client stakeholders, partners, landlords, managing agents, and all facilities vendors.
- Assist in managing all contractors on site to ensure they perform to required standards and comply with building procedures.
- Support the procurement of vendors and services as needed, following established processes and standards.
- Assist with financial processes to ensure all financial management requirements are completed accurately and on time.
- Ensure prompt and accurate creation, management, and closure of purchase orders in the internal financial management platform.
- Assist with preparation of monthly accrual reports and help monitor finance trackers to maintain accurate financial records.
- Conduct regular site inspections, assessments, and audits to ensure compliance with safety procedures, building procedures, and performance measures.
- Support the implementation of the property risk management program and industry best practice operations.
- Maintain premises in neat, orderly, and good working condition at all times.
- Support the implementation and monitoring of disaster recovery and business continuity plans.
- Follow established escalation procedures and incident reporting procedures for facilities-related issues.
- Provide support for regular management reports and special projects as required.
- Achieve Key Performance Indicators (KPIs) and Service Level Agreement (SLA) targets related to facilities operations and service delivery.
- Respond to emails promptly, dispatch work tickets, and ensure work orders are completed and closed accurately in a timely manner.
- Deliver high-quality customer service to building occupants in a fast-paced headquarters environment.
- Ability to work independently and as part of a team while managing multiple tasks in a fast-paced environment.
- Strong self-motivation with a confident and energetic attitude.
- Excellent verbal and written communication skills for interacting with stakeholders, vendors, and internal teams.
- Ability to work well under pressure and adapt to changing priorities.
- Strong understanding of Microsoft Word, Excel, and Outlook.

- Experience in facilities maintenance, facilities operations, or facility management.

- Attention to detail in managing financial processes, purchase orders, and reports.
- Education or experience in a related field such as facilities management, property management, or building operations.
- Experience working in a headquarters or corporate office environment with high customer service expectations.
- Familiarity with financial management platforms and finance trackers for facilities operations.
- Experience supporting risk management programs, disaster recovery plans, and business continuity plans.
- Experience with check compliance as required by the client, including a 10-panel eCOC through the designated provider.
