Responsibilities
- Provide comprehensive coordination and administrative support to C-suite executives.
- Complete a broad range of executive administrative tasks, including document preparation, meeting minutes, calendar management, travel planning, expense reporting, and special projects.
- Manage complex calendars for C-suite leaders, including scheduling, rescheduling, and prioritizing meetings and appointments.
- Assist in arranging corporate travel and meetings, including developing detailed itineraries and coordinating with others to schedule travel and meeting accommodations.
- Prepare and process expense reports accurately and in a timely manner.
- Capture, draft, and distribute clear and accurate meeting minutes and follow-up actions.
- Prioritize conflicting needs and handle matters expeditiously, proactively, and with sound judgment to meet tight deadlines.
- Ensure smooth, timely communication and coordination with administrative support across corporate departments and hospital leadership offices.
- Liaise professionally with external parties, including partners, vendors, and other stakeholders, on behalf of C-suite executives.
- Maintain strict confidentiality and discretion in handling sensitive information and executive-level communications.
- Support special projects and other executive initiatives as needed.
- Serve as a champion and ambassador for a respectful, professional, and positive work culture.
- Demonstrate executive presence and represent leadership with professionalism in all interactions.
- 5–7 years of experience as an executive assistant supporting C-suite level leaders.
- Bachelor’s degree or equivalent experience.
- Proven experience providing high-level executive administrative support, including calendar management and executive support.
- Advanced skills in Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook.
- Strong knowledge of business travel logistics, either through prior executive assistant experience or extensive personal business travel.
- Demonstrated ability to manage complex calendars and competing priorities.
- Exceptional written and verbal communication skills.
- Flawless track record and unwavering commitment to handling confidential information with the highest level of discretion.
- Ability to work proactively, prioritize effectively, and meet tight timelines.
- Polished executive presence with professional demeanor in all interactions.
- Experience coordinating with multiple departments and leadership offices in a corporate or healthcare-related environment.
- Proficiency in preparing professional documents, presentations, and reports.
- Strong organizational skills with meticulous attention to detail.
