Job Description
The Customer Experience Representative supports a high-volume order and quote entry operation by accurately converting customer emails, quotes, and purchase orders into the ERP system. This onsite role focuses on precise data entry, professional email communication, and collaboration with internal teams to ensure a smooth and efficient customer experience. Responsibilities
This role is 100% in-office, Monday through Friday, in a collaborative and process-driven environment that emphasizes accuracy, customer experience, and strong work ethic. Initial training lasts approximately three weeks and takes place onsite from 8:00 a.m. to 5:00 p.m., covering systems, order entry procedures, item numbers, pricing, and how to locate key information. After training, there is some flexibility in schedule, with typical options such as 7:00 a.m. to 4:00 p.m. or 9:00 a.m. to 6:00 p.m., depending on business needs. You will work extensively with an ERP system and Microsoft Office tools, especially Outlook, while collaborating closely with sales, operations, and supply chain teams. Responsibilities
- Receive customer orders and quote requests via email and accurately enter them into the ERP system.
- Convert emails, quotes, and purchase orders into complete, compliant ERP transactions.
- Communicate with customers via email to confirm order details, pricing, availability, and next steps.
- Process a high volume of orders and quotes daily, reaching approximately 80 to 100 orders per day once fully trained.
- Maintain a high level of accuracy and data integrity in all order and quote entries.
- Navigate and multitask across multiple internal systems and screens, including Outlook and the ERP platform.
- Use Microsoft Outlook for daily communication, workflow management, and timely responses to customer inquiries.
- Ensure prompt follow-up on customer questions, clarifications, and order-related issues.
- Partner with internal teams such as sales, operations, and supply chain to resolve order discrepancies and support order-to-cash or quote-to-order processes.
- Adhere to established processes and procedures to support a consistent, high-quality customer experience.
- Demonstrate strong attention to detail, accountability, and reliability in meeting daily performance expectations.
- Participate actively in the structured training program to learn systems, item numbers, pricing, and where to find necessary information.
- At least 1 year of experience in high-volume customer service, order entry, quote entry, call center, or similar administrative support role.
- Proven experience processing a high volume of orders or transactions with strong accuracy.
- Strong written communication skills and professional email etiquette, particularly using Microsoft Outlook.
- Ability to multitask effectively across multiple systems and screens, including email and ERP tools.
- Experience using ERP systems; familiarity with Sage is a strong plus.
- Proficiency with Microsoft Office, especially Outlook for communication and workflow management.
- Strong attention to detail and commitment to data integrity.
- High level of accountability, reliability, and driven work ethic.
- Ability to work fully onsite Monday through Friday.
- Strong verbal communication skills to collaborate with internal teams and clarify customer needs.
- Experience in manufacturing, distribution, or supply chain environments.
- Familiarity with order-to-cash or quote-to-order processes.
- Comfort working in a fast-paced, process-driven, and detail-focused setting.
- Background in customer support, call center operations, data entry, or order processing.
