Administrative Assistant – Accounting
Location: Tamarac, FL (On-site)
Schedule: Full-time, Monday–Friday, 8:30 AM–5:30 PM EST
About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant – Accounting to support our accounting operations with a strong emphasis on order processing. This role plays a key part in keeping daily business operations running smoothly by ensuring all customer and vendor orders are entered accurately, verified promptly, and processed without delays.

Key Responsibilities
- Process a high volume of customer orders and purchase orders daily with accuracy and attention to detail.
- Enter, review, and verify order information in accounting and ERP systems.
- Match invoices, receipts, and purchase orders to prepare for approval and payment.
- Communicate with internal teams (sales, warehouse/shipping, and accounting) to resolve discrepancies or issues.
- Assist with accounts payable and accounts receivable data entry, updates, and reconciliations.
- Maintain organized and up-to-date digital and physical records for orders, invoices, payments, and other accounting documents.
- Support the accounting team during month-end close by preparing documentation, updating logs, and assisting with reconciliations.
- Perform general administrative tasks including filing, scanning, documentation management, and department support.
- Provide backup support to other accounting or administrative functions as needed.
Qualifications & SkillsEducation
- Associate’s degree or coursework in Accounting, Finance, Business Administration, or related field preferred.
Experience
- 1–2 years of administrative, accounting support, bookkeeping, or order processing experience.
Technical Skills
- Proficiency in Microsoft Excel (data entry, sorting, basic formulas).
- Experience with QuickBooks or equivalent accounting software preferred.
- Familiarity with ERP or order-entry systems is a plus.
- Strong data entry accuracy and speed.
Soft Skills
- Excellent attention to detail and high level of accuracy.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Ability to work efficiently under pressure and manage daily deadlines.
- Comfortable with repetitive processes and maintaining focus throughout the day.
