Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to join our dynamic team. The Administrative Assistant will be responsible for a variety of clerical and customer service duties, contributing to the overall success of our organization.

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately.
  • Handle multi-line phone systems, ensuring effective communication and phone etiquette.
  • Perform data entry tasks, maintaining accurate records and filing systems.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support through effective communication and problem-solving skills.
  • Utilize Microsoft Office for document creation, data management, and correspondence.
  • Conduct proofreading of documents to ensure accuracy and professionalism.
  • Support bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
  • Maintain office organization through efficient filing systems and clerical support.
  • Collaborate with team members to enhance office management processes.

Requirements

  • Proven experience in an administrative role or similar position is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
  • Strong computer skills with a focus on data entry accuracy and efficiency.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Bilingual abilities are a plus, enhancing communication with diverse clients.
  • Experience with multi-line phone systems and front desk operations is highly desirable.
  • Familiarity with QuickBooks or similar bookkeeping software is advantageous.
  • Strong typing skills with attention to detail in all written communications.
  • Previous experience is beneficial but not required.
