Office Administrator

Position Summary:
The Office Administrator is responsible for ensuring the smooth day-to-day operations of the office. This role supports staff, manages administrative tasks, and helps maintain an organized, efficient, and professional work environment.

Key Responsibilities:

  • Answer and direct phone calls, emails, and customer inquiries
  • Schedule appointments, meetings, and maintain calendars
  • Manage office supplies and place orders as needed
  • Maintain organized filing systems (digital and physical)
  • Assist with billing, invoicing, and basic bookkeeping tasks
  • Prepare reports, documents, and correspondence
  • Ensure the office is clean, organized, and fully operational

Qualifications:

  • High school diploma or equivalent (associate’s or bachelor’s preferred)
  • Proven experience in an administrative or office support role
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently and as part of a team
  • Attention to detail and problem-solving skills

Preferred Skills:

  • Experience with scheduling or service software (especially helpful in service-based businesses)
  • Basic accounting or bookkeeping knowledge
  • Familiarity with CRM or customer management systems
