Job Summary
The Shipping Coordinator is responsible for managing both outbound and inbound shipping operations to ensure smooth, accurate, and on-time movement of goods. The role coordinates closely with warehouse, production, planning, carriers, brokers, forwarders, and customers to support daily logistics operations and maintain shipment accuracy in ERP and retailer systems.
Key Responsibilities
Outbound Shipping Operations
- Prepare packing lists and pallet loading calculations after receiving Purchase Orders (POs).
- Book shipments through ShipIQ based on approved packing lists.
- Create ASN (Advance Shipment Notice) in SPS Commerce system and print pallet labels.
- Create picking lists in internal WHControl system for warehouse team preparation based on ASN.
- Submit invoices after shipment dispatch.
- Coordinate with warehouse, planning, and production teams to monitor shipment readiness and ensure on-time shipment according to booked schedule.
- Communicate with carriers to ensure trucks arrive on schedule and deliveries are completed on time to customers.
- Monitor shipment status and proactively follow up on any delays or issues.
- Maintain accurate shipping records and system updates.
Inbound Shipping Operations
- Receive shipping documents from shippers and monitor arrival notices from forwarders.
- Review and confirm Entry Summary documents prepared by customs brokers before official customs filing.
- Monitor destination final updates from forwarders.
- Coordinate delivery schedules and warehouse delivery locations based on inventory levels and warehouse capacity at the time of delivery.
- Follow up and coordinate payment processing for forwarder invoices and logistics costs.
- Coordinate with warehouse team for receiving schedule and unloading arrangements.
- Support inventory accuracy through proper inbound documentation and communication.
Qualifications
- Bachelor’s degree or equivalent experience in Logistics, Supply Chain, Import-Export, Business Administration, or related field.
- Minimum 2–3 years experience in shipping, logistics, warehouse, or supply chain operations.
- Experience working with retailer compliance systems, ASN, SPS Commerce, or EDI systems is preferred.
- Familiar with import/export shipping documentation and customs processes.
- Strong coordination and communication skills.
- Detail-oriented with good problem-solving ability.
- Able to work under pressure and manage multiple priorities.
- Good English communication skills preferred.
