Position Summary

The Mail Equipment Operator – Technician I supports by operating and maintaining high-volume mailing equipment to ensure thousands of outgoing mail pieces are processed accurately and on time each day.

This role is highly physical and requires continuous standing, lifting, bending, and working in a noisy machine environment. The successful candidate will also troubleshoot equipment, coordinate vendor repairs, manage mail production software, and assist with mailroom operations as needed.

All selected candidates must successfully complete a federal background investigation and receive clearance from the Social Security Administration before gaining system access.

Key Responsibilities

  • Operate high-volume mailing equipment including printers, inserting machines, mail meters, paper joggers, and envelope folders
  • Ensure continuous operation and timely processing of outgoing mail
  • Refill machines with paper, ink, sealing fluid, and other consumables throughout the day
  • Troubleshoot mechanical issues and perform first-level repairs when possible
  • Contact maintenance vendors and clearly communicate technical problems
  • Update DDS management on machine status and service calls in real time
  • Use mail print software and tracking systems for production monitoring
  • Ship large paper files using shipping software and weighing scales
  • Track inventory of mailroom supplies and notify Supply Department when stock is low
  • Coordinate with IT for printer, network, and software issues
  • Assist with return mail processing and general mail center tasks when required

Physical Requirements: Job Type: Physical Labor - Machine Operator

  • Stand: Must be able to stand constantly eight (8) hours per day.
  • Sit: Minimal sitting at a desk and computer involved in this job. Less than one hour per day.
  • Lift: Must be able to constantly lift over 50 pounds from the ground and stock shelves with boxes weighing the same or more on a frequent basis. Must be able to lift up to 75 pounds, when necessary.
  • Push: Must be able to push large carts of mail and supplies boxes weighing over 100 pounds throughout a large office setting.
  • Bending: Must be able to constantly bend at the waist and knees constantly throughout an eight (8) hour workday.
  • Kneeling: Frequent kneeling lift heavy boxes and equipment, troubleshoot issues on machines low the ground, etc. throughout an eight (8)- hour workday.
  • Crouching: Occasional.
  • Temperature: Temperature of Room is kept cool, but equipment may cause it to rise. Candidate must be able to handle warm temperatures occasionally, when HVAC is not functioning properly.
  • Noise: Candidate will be provided with hearing protection equipment. However, they must be able to be handle exposure to constant loud noise of printers, inserting, metering, and folding machines eight (8) hours a day.

Full Job Description

This position provides support by operating multiple pieces of large mailing equipment to ensure thousands of pieces of outgoing mail created daily by the Division is sent out timely and accurately.

Duties include operating large mailing equipment such as high-volume printers, complex mail-inserting machines, mail meters, paper joggers, and envelop folders.

Machine operators are responsible to ensure machines are constantly operating properly and performing their function efficiently to ensure all mail is processed timely.

Candidate must also constantly refill machines with reams of paper, sealing fluid, ink, etc. all throughout a standard workday.

Successful candidate must learn how to troubleshoot common mechanical issues of all mail machines to attempt to resolve the issue quickly and have them operating properly within a quick timeframe.

If unable to resolve issues, the candidate must contact the appropriate contracted maintenance contractors and be able to effectively describe the issues over the phone or via email and pass along status of machines and service calls to management in real-time.

Additional duties include operating mail print software and mail tracking software to ensure timely printing and tracking of thousands of pieces of outgoing mail produced by the Division daily.

This position also requires the candidate to learn how to ship large paper files to appropriate government offices around the country using a desktop, shipping software, and weigh scale.

Candidate will be responsible to track inventory of all necessary Mail Room supplies and must promptly notify the Supply Department when critical supplies are low to ensure no loss of mail production.

Position is responsible to know when and how to contact vendors for support and service repair for mailing equipment when they are malfunctioning.

Additionally, position will coordinate with the in-house IT department to address local network, printer, and software issues.

There may be occasional times when work in the mail equipment room is slow, at which point the candidate may be required to assist with the processing of return mail and other tasks in the Mail Center.

  • A suitability determination by the Social Security Administration is necessary to determine whether an employee can be issued credentials in order to have access to Social Security disability data, records, and systems
