Job Summary
We are seeking a dynamic and detail-oriented Medical Receptionist to join our healthcare team. Responsibilities
- Greet patients warmly, verify patient information, and facilitate check-in and check-out processes with professionalism and efficiency.
- Schedule appointments using medical scheduling software, coordinate follow-up visits, and manage calendar updates to optimize clinic flow.
- Verify insurance coverage, perform insurance eligibility checks, and process claims accurately using systems such as Elation and Tebra.
- Collect and review patient documentation, ensuring compliance with HIPAA regulations and maintaining confidentiality of health information.
- Assist with billing procedures including medical collection activities, CPT coding, ICD-10/ICD-9 coding, and Medicare claims processing. Collect estimated copayments and patient balance with communication to Akamai MD (Billers).
- Make daily checks and balances, prepare refunds to payers and patients, and file paperwork. Responsible for the accounting of petty cash and all daily cash collected, daily checks collected or any other legal tender collected each business day. Ensure all superbills and patient insurance information needed to bill insurance companies for services rendered on any given business day is entered and up to date.
- Manage incoming calls on multi-line phone systems with excellent phone etiquette; address patient inquiries promptly and professionally.
- Maintain accurate medical records by filing documents systematically, updating electronic health records (EHR) systems like Elation Health and reviewing documentation for completeness. Assist with prior authorizations and insurance referrals and pharmacy phone calls regarding refill of maintenance prescriptions
- Support clinical staff by preparing care plans, reviewing documentation for accuracy, and assisting with intake procedures.
- Ensure the clinic’s administrative area remains organized by assisting with filing, scanning, shredding and general clerical tasks efficiently.
Requirements
- Proven experience as a Medical Receptionist or in a similar medical office role; clinic or dental office experience is highly preferred [SIX months to 1 YEAR]
- Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and medical billing processes.
- Familiarity with EMR/EHR systems such as Epic, Elation Health or other EHR software.
- Ability to verify insurance benefits accurately using tools like insurance verification systems; experience with Medicare is a plus.
- Excellent computer skills including proficiency in Microsoft Office; Google docs, sheets, and excel capable of handling multiple software platforms simultaneously.
- Exceptional customer service skills combined with professional phone etiquette; bilingual abilities are advantageous.
- Knowledge of HIPAA regulations to ensure patient privacy and data security at all times.
- Strong organizational skills with attention to detail for documentation review and record management.
- Office management skills including filing, scheduling, and handling multi-line phone systems to support daily operations effectively.
