CE Division Sales, Marketing & Rental Coordinator

Position Overview

We are seeking a highly organized and customer-focused CE Division Sales, Marketing & Rental Coordinator to support our Construction Equipment Division through sales administration, equipment marketing, rental contract management, customer support, and equipment logistics.

This role serves as a central point of coordination between customers, sales representatives, branch personnel, rental operations, transportation providers, auction partners, and internal departments to ensure equipment is effectively marketed, rental transactions are accurately processed, and customer inquiries are handled promptly.

The ideal candidate has at least five years of experience in equipment sales support, marketing coordination, rental operations, contract administration, logistics, or customer service within the construction equipment or related industries.

Key Responsibilities

Sales & Marketing

• Manage equipment listings across online marketplaces, auction platforms, and company-approved advertising channels.
• Maintain accurate and up-to-date equipment inventory information.
• Coordinate print and digital marketing initiatives supporting equipment sales and rentals.
• Monitor listing performance and recommend opportunities to improve visibility and lead generation.
• Assist with promotional campaigns and marketing activities.

Lead Management & Customer Support

• Serve as the first point of contact for incoming equipment sales and rental inquiries.
• Answer customer calls and respond to equipment availability and pricing requests.
• Qualify and distribute sales leads to the appropriate branch or sales representative.
• Maintain customer activity and lead tracking within CRM systems.

Rental Operations

• Prepare, process, and maintain rental contracts, renewals, extensions, exchanges, and off-rent documentation.
• Review contracts for accuracy and completeness.
• Monitor contract status and maintain organized records.
• Assist with contract audits and resolve documentation discrepancies.
• Support rental utilization and revenue objectives.

CRM & Sales Administration

• Maintain customer, prospect, and equipment records within IronConnect, Texada iQuote, and related systems.
• Generate sales, marketing, and operational reports.
• Support the sales team with administrative and customer account functions.

Transportation & Logistics

• Coordinate third-party transportation and freight providers.
• Obtain transportation quotes and schedule equipment deliveries.
• Track equipment movements and communicate status updates to customers and internal teams.

Equipment Remarketing

• Coordinate equipment submissions to auction and remarketing platforms including Machinery Trader, IronPlanet, Bidadoo, Ritchie Bros., and other approved channels.
• Manage equipment listings, documentation, photographs, inspections, and auction scheduling.
• Track auction performance and remarketing results.

Qualifications

• Minimum of five (5) years of experience in sales support, marketing coordination, rental administration, contract management, logistics coordination, customer service, equipment operations, or a related field.
• Equivalent combinations of industry experience and training may be considered.
• Strong organizational, communication, and customer service skills.
• Proficiency with Microsoft Office applications.

Preferred Qualifications

• Experience within the construction, mining, heavy equipment, agricultural, material handling, or equipment rental industries.
• Working knowledge of heavy equipment specifications and lifecycle management.
• Experience with CRM systems, rental software, and contract administration.
• Advanced Microsoft Office skills, including Excel.
