Position Summary:
The Logistics Coordinator plays a critical role in ensuring efficient and timely delivery operations. This position is responsible for managing Fuel and Lubricants routing logistics, monitoring tank levels, and coordinating with terminal managers and drivers to ensure seamless operations. Prepares reports, tracks metrics, manages documents, ensures contract compliance, and information management. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced environment.
Key Result Areas and Responsibilities
1.Monitors scheduling databases to ensure information is available to allow for accurate forecasting of deliveries. Use pricing tools to choose best pricing in accordance with rack pricing and contracts. Oversees delivery schedules to ensure deliveries are executed timely and that sites maintain optimal inventory levels. Manages the delivery process to ensure that deliveries are made in accordance with contracts and the customer’s delivery requirements and adjusts routes in real-time as needed due to changes in demand, traffic, or emergencies. Monitors contract volumes and supply allocation to ensure adequate product is available to load. Point of contact with other departments for scheduling clarification or issues. Schedules movements via various distribution channels through use of propriety and third-party scheduling systems. Responds to unexpected events making contingency arrangements to minimize disruption of product supply. Ensures relevant data is captured accurately and recorded, including documentation. Create, update, and maintain geofences in scheduling platforms to ensure accurate tracking of tanks.
2.Prepares management reports, departmental presentations, and performance metric scorecards. Performs analysis to ensure products are being sourced properly and that contracts obligations are fulfilled. Records all delivery incidents and prepare required documentation to communicate details of the event to key stakeholders. Analyze current reporting metrics and assist in the development and implementation of improved reporting and documentation. Provides administrative support to other departments to include document processing, supply management, and customer and vendor setup. Process delivery paperwork, ensuring accuracy and completeness.
3.Responds to unplanned supply disruption and terminal issues by providing carriers and drivers with loading instructions. Adjust routes in real-time as needed due to changes in demand, traffic, or emergencies. Collaborate with drivers and terminal teams to address customer inquiries, delivery issues, and special requests. Works with carriers, drivers, product schedulers, and loading terminals to investigate and resolve loading issues. Provides instruction to carriers and drivers to resolve delivery issues and participate in the root cause review of the delivery issue investigation. Assists the billing and payables departments in the investigation of fuel delivery inquiries. Provides timely and accurate inventory position information to product schedulers.
4.Processes incoming order requests from customers for fuel deliveries. Receives and processes requests for tank testing and site maintenance. Provides support to internal and external customers. Provides customers with status updates and delivery time estimates and resolves any service disruptions. Provides notice to carriers of planned terminal and site downtimes. Responds to customer requests for delivery information and investigates customer delivery complaints.
5.Identifies and communicates commercial/operational opportunities. Focuses continuously on increasing transportation efficiency while minimizing per gallon transportation costs. Works with customers and product schedulers to maintain accurate forecast on volume requirements/movement. Communicates and verifies planned movements as well as status with internal teams, product schedulers, pricing, transportation counterparties, external counterparties, terminal managers, and leadership. Establishes and sustains industry relationships pertaining to supply, transportation, and logistical issues.
Education and Experience
- High school diploma or equivalent required. Bachelors desired.
- 2 years of experience in logistics, dispatch, or routing coordination.
- Strong communication, analytical, and problem-solving skills required.
- Ability to multitask and adapt to changing priorities in a dynamic environment.
- Demonstrates analytical and communication skills necessary to handle day-to-day desk responsibilities and organizational abilities.
- Excellent written and verbal communication skills are needed to work with both internal and external customers.
- Attention to detail is essential to complete this job on a day-to-day basis.
- Bilingual (English/Spanish) is a plus.
