Position Summary
St. Charles Borromeo Parish is seeking a dependable and welcoming Administrative Assistant to support the daily operations of the parish office. This individual serves as the first point of contact for parishioners and visitors while assisting the pastor with administrative, sacramental, and communication responsibilities essential to parish life.
Primary Responsibilities
Office Management
- Open and close the parish office
- Welcome visitors and respond to inquiries
- Answer and direct phone calls
- Manage parish email correspondence
Sacramental Records & Coordination
- Maintain parish sacramental registers (baptisms, marriages, funerals)
- Send required notifications to other parishes
- Coordinate baptism scheduling, preparation, and documentation
- Assist with wedding preparation, including scheduling and maintaining files
- Coordinate funerals with families, funeral homes, and liturgical ministers
Liturgical Support
- Schedule Mass intentions
- Prepare weekly announcements and Prayers of the Faithful
- Prepare sacramental certificates and documentation
Administrative & Financial Duties
- Process offertory contributions and online donations (ParishSoft)
- Assist with accounts payable, check processing, and bank deposits
- Order office and church supplies
Communications
- Design and publish the weekly parish bulletin (Microsoft Publisher)
- Maintain parish calendar and basic website updates
- Mail bulletins to homebound parishioners
Events & Compliance
- Assist with parish events and fundraisers
- Maintain background check records and compliance files
Cemetery Administration
- Coordinate burials and maintain cemetery records
- Work with families, funeral homes, and cemetery staff
- Assist with grave sales and fee collection
Additional Duties
- Assist pastor with scheduling and administrative needs
- Perform other duties as assigned
Qualifications
- Strong organizational and multitasking skills
- Excellent interpersonal and communication abilities
- Proficiency in Microsoft Office (Word, Publisher; Excel a plus)
- Ability to maintain confidentiality
- Familiarity with Catholic parish life and sacramental practices preferred
- Experience with ParishSoft or similar database systems preferred
