The Mission Concepts and Capabilities (MCC) Division of Applied Research Associates, Inc. (ARA) is seeking an Administrative Specialist to provide administrative services to the ARA team supporting the Defense Threat Reduction Agency (DTRA). Administrative duties include budget tracking, sub-contractor invoice/contract support, software distribution, partner liaison, travel and onboarding coordination, meeting support, roster management, corporate/division liaison, tracking monthly report submission along with other general administrative support tasks.
The Administrative Specialist interfaces with both ARA and the government customer team members and handles information requiring various levels of protection. Strong communication skills and attention to detail are essential traits. Responsibilities of the position include:
- Support project management and personnel in coordinating and tracking administrative actions to facilitate continuous support at the DTRA site.
- Support project management learning and ensuring team understanding of corporate software and procedures.
- Tracking sub-contractor invoices, budget, and report submissions
- Financial report production
- Submission of sub-contract change requests
- Corporate liaison for HR, purchasing, and other actions
- Coordinate meetings for Technical Reachback and Training teams in-person or virtually consistent with the level of protection required for the given event.
- Serve as the primary backup for DTRA’s software issue and control system for customers requesting access to DTRA decision support software, ensuring software requests are properly documented and requesters meet minimum requirements for software access.
Required Qualifications:
- Bachelor’s degree and at least 10 years of experience in an administrative position
- US citizen
- US DoD Secret
- Demonstrated professionalism, customer service focus, and strong organizational and interpersonal skills
- Experience working in subcontracts
- Strong written and verbal communication skills with Microsoft Office proficiency
Desired Qualifications:
- Experience overseeing subcontracting budgets
- Experience complying with International Traffic in Arms Regulations (ITAR) and security requirements
