General administrative tasks are part of the role, including the following: making appointments by telephone and email, setting-up appointments, keeping materials stocked, providing client service, assisting coworkers with their tasks, and other activities to keep the office running smoothly, Additionally, a large part of the job involves administering tests and scoring them. The position is part office generalist and part test administrator. We are a very small operation so you need to enjoy wearing many hats. It's a perfect match for someone who enjoys a balance of time with others and time working by yourself. You must be able to switch back-and-forth between assisting people and clerical activities without frustration.
The hours are 7:45 a.m.-3:45 p.m., Monday through Friday, and in-office only. Lunch and other breaks are floating, as the clients' testing schedules will determine the best time for daily breaks. Since we usually operate with a staff of fewer than ten people, there is no one to cover for you if you are late. You must be consistently present, on-time, and avoid trying to leave early.
If you need to spend a significant amount of time taking breaks, on social media, performing hobbies, or managing personal / family responsibilities while working, this is not the position for you.
Responsibilities
- Arrive on-time and open the front-office every day
- Remain in the building for the duration of the shift
- Make an excellent first impression in-person, on the telephone, and via email
- Answer telephone calls when the phone is ringing
- Make appointments and call to remind clients of those appointments; manage cancellations and reschedule
- Retrieve and distribute mail
- Maintain organized filing systems and data entry records
- Support coworkers on projects that need assistance
- Provide general office support including photocopying, ordering supplies, and maintaining cleanliness of common areas.
- Assist other staff members with their projects and tasks
Requirements
- Willingness to be trained in specific work methods and follow them specifically, not changing operations to suit your preferences
- Follow specific instructions, without variation, not changing operations to suit your preferences
- Confidence in interacting with people of all ages, educational levels, and careers
- Bachelor's degree is preferred, but applicable experience is also valuable
Pay: $20.00 - $25.00 per hour
