Responsibilities
- Serve as the first point of contact at the front desk, greeting visitors and managing a multi-line phone system with professionalism and courtesy.
- Handle incoming calls, directing inquiries efficiently while practicing excellent phone etiquette.
- Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office tools.
- Perform data entry tasks accurately into various databases Business Central and MS Excel.
- Coordinate travel arrangements and hotel accommodations for company projects.
- Assist with marketing media development and distribution functions.
- Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents and records.
- Support office management activities such as ordering supplies, managing inventory, and overseeing office equipment maintenance.
- Assist with proofreading and editing correspondence, reports, and other documents to ensure clarity and professionalism.
- Provide customer support by addressing inquiries promptly via phone or email, delivering exceptional service at all times.
- Support clerical duties such as photocopying, scanning, mailing, and organizing files for efficiency.
- Coordinate with team members on calendar management for appointments and deadlines to optimize time management.
- Perform basic bookkeeping tasks using Business Central software to assist with invoicing and expense tracking.
- Contribute to a positive office environment by demonstrating excellent customer service skills and maintaining a professional demeanor.
Requirements
- Proven experience in an office setting with strong organizational skills and attention to detail.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with Accounts Receivable and general bookkeeping skills are highly desirable.
- Excellent communication skills in both English; bilingual abilities are a plus!
- Previous experience working at a front desk or as a receptionist is advantageous.
- Strong computer literacy with the ability to perform data entry accurately and efficiently.
- Exceptional phone etiquette with experience managing multi-line phone systems.
- Ability to handle multiple tasks simultaneously while maintaining accuracy under pressure.
- Experience in clerical work such as filing, proofreading, data entry, and document management.
- Knowledge of office management practices including supply ordering and equipment maintenance.
- Personal assistant or receptionist experience is beneficial for understanding client needs in specialized environments.
- Time management skills that enable prioritization of tasks effectively throughout the day.
