Position Overview :

We are seeking a highly organized and proactive Legal Firm Administrator to manage the day-to-day operations of the firm. The ideal candidate will have a strong background in legal office administration, preferably with experience in Property Loss and Personal Injury law. This role requires someone who is detail-oriented, efficient, and capable of managing multiple tasks simultaneously.

Key Responsibilities :

  • Office Management : Oversee the day-to-day operations of the firm, ensuring smooth workflow and efficiency in the office.
  • Client Relations : Serve as the first point of contact for clients, handling inquiries, scheduling appointments, and ensuring a positive client experience.
  • Billing and Accounting : Perform accoutning functions as needed including billing, preparation of financial statements, management of reports and collections for the firm.
  • Human Resources : Assist with hiring, training, and onboarding new staff members. Ensure compliance with employment laws and company policies.
  • Compliance and Record Keeping : Maintain up-to-date records in compliance with legal and ethical requirements, ensuring confidentiality and security of all client and firm data.
  • Technology Management : Oversee the firm's case management software, ensuring all relevant case information is entered and updated accurately.
  • Administrative Support : Provide administrative support to attorneys, including calendar management, document filing, and other clerical tasks.

Qualifications :

  • Minimum of 3-5 years of experience in an office management role within a law firm.
  • Knowledge of legal terminology, case management procedures, and legal document preparation.
  • Familiarity with relevant legal software, including case management and billing systems.
  • Strong communication skills, both written and verbal.
  • Excellent organizational and multitasking abilities.
  • High attention to detail and ability to prioritize tasks in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to maintain professionalism and confidentiality at all times.
