Job Description:
Provide comprehensive administrative support to management, operations, and office staff
Manage and route incoming phone calls and emails with professionalism and efficiency
Maintain organized electronic and physical filing systems, ensuring accurate recordkeeping
Prepare, format, and distribute reports, correspondence, spreadsheets, and internal communications
Coordinate calendars, schedule meetings, and organize logistics for appointments and events
Perform data entry and maintain accuracy across internal systems and shared platforms
Support onboarding and HR administrative processes, including document collection and file setup
Monitor and order office supplies to ensure uninterrupted daily operations
Assist with invoice processing, purchase orders, and documentation tracking
Facilitate communication across departments to improve workflow and efficiency
Support compliance initiatives by maintaining accurate records and required documentation
Ensure a professional, organized, and efficient office environment
Perform additional administrative duties as needed to support business operations
Qualifications
Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams)
Strong written and verbal communication skills with a professional presence
Excellent organizational and multitasking abilities in fast-paced environments
High attention to detail and accuracy in documentation and data management
Ability to prioritize tasks and adapt to changing business needs
Professional demeanor with strong interpersonal and teamwork skills
Knowledge of confidentiality practices and adherence to company policies
Experience using shared drives, document management systems, and cloud-based tools
Preferred Experience
3 years of administrative, office support, or coordinator experience
Experience In Construction, Facilities, Or Service-based Industries (preferred)
Familiarity with office operations, documentation workflows, and cross-functional coordination
Exposure to basic accounting, HR, or operational administrative tasks
Experience working in multi-department or multi-location environments
Proactive mindset with the ability to anticipate team needs and provide support
