Job Description:
With guidance and direction and within approved practices and procedures, plans, controls and implements the appropriate systems for medical record control, tracking, retention and destruction.
Planning Responsibility
- Within the policy of the corporation and the perimeter of regulatory authority, plans the implementation of record documentation, procedures, file identification systems, tracking, recall and retention procedures for the control of medical records on all patients and their treatment records.
- Plans this coordination of medical records control with all concerned facility personnel dealing with medical records.
- Plans improved procedures and systems for accurate and timely control, identification and tracking of all medical records.
- Monitor the quality and input of medical notes and records on patient care to ensure compliance with standards and controls.
- Reviews process, and procedures being followed by facility staff and insures appropriate orientation and training of new personnel unfamiliar with the system.
- Collaborates with medical staff, billing and accounting functions to insure complete and accurate retention of all required medical records.
- Monitors the security of the medical records system to insure the protection of confidentiality and fulfillment of all regulatory requirements.
- Implements approved control systems to assure the efficient and effective maintenance and control of medical records.
- Accesses records for appropriate personnel and accounts for their location at all times.
- Maintains the security of the records system and files within the standards set for the system.
- Coordinates all medical record activities within the facility to meet the appropriate priority of needs established by the medical staff.
- Maintains system for medical records requests for residents, their families, insurance appeals, law offices, medical providers, and/or other sources.
