Administrative Assistant / Timekeeper (Contract)

Contract Duration: 2-year contract with strong possibility of conversion based on performance and budget availability

Location: Fully onsite – Metro location (5 days/week)

Hours: Approximately 6:30/7:00 AM – 3:30/4:00 PM PST

Interview Process: One interview with the hiring manager and her supervisor

Position Overview

We are seeking a highly detail-oriented Administrative Assistant / Timekeeper to support a District Office team responsible for distribution operations. This role is primarily focused on timekeeping and administrative data entry in support of frontline employees, first responders, construction teams, engineers/compliance staff, and inspectors. The team is a mix of union and internal employees.

This position is ideal for someone with prior experience in timekeeping, bookkeeping, or administrative support who is comfortable spending a significant portion of the day entering and reviewing data accurately.

Key Responsibilities

  • Perform timekeeping functions for both union and internal employees
  • Enter, review, and maintain accurate time and attendance data
  • Provide general administrative support to the District Office team
  • Assist with financial record keeping and basic bookkeeping tasks
  • Prepare and process documents using word processing and spreadsheet tools
  • File, fax, answer phones, receive and direct visitors as needed
  • Schedule meetings and assist with coordinating conferences
  • Distribute mail and assist with ordering and tracking office supplies
  • Support special projects as assigned by management

Training & Support

  • Full training will be provided by existing full-time employees and the contractor currently in the role
  • Equipment will be provided by the manager

Qualifications

  • High School Diploma required
  • Prior experience as a timekeeper or administrative assistant with timekeeping/bookkeeping duties strongly preferred
  • Open to candidates from any industry
  • Strong attention to detail and ability to perform repetitive data entry accurately
  • Comfortable working onsite in an early-morning schedule

  • Exceptional attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Ability to manage high volumes of data entry accurately
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Ability to work reliably onsite and adhere to set schedules
