Site Manager Job Description
The Site Manager will work under the direction of the Board of Directors (BOD) of Pacific Shores and our Management Company (HMC). The Manager will be supervised by Hawaiiana Management company (HMC). There will be a designated Board member who the Site Manager will correspond with. The Site manager is a Liaison between the BOD and others (owners, employees, vendors and agents)
Job Description: The site is Pacific Shores and the Site Manager will report to 2219 South Kihei Road. Hours worked: Site Manager will work the hours of 7am to 1pm Monday to Friday. Hours may shift based on needs and additional hours necessary (at the discretion of the BOD) including weekends up to 40 hours per week. The Site Manager will be on call for emergencies on evenings and weekends.
Site Manager Scope of Duties:
To include but not limited to the following:
- Liaison between the BOD and others (owners, venders, agents etc)
- Manage and work with onsite staff including landscapers and pool maintenance personnel
- Submit time sheets for self and employees in a timely manner.
-Apply knowledge and research solutions for problems and projects where applicable
- Manage venders: Tree Trimmer, Pool, Elevator, Landscaper, Electrician, Plumber, Garbage, Security, Fire Alarm, Pest Management, Management Company and so on.
- Monitor and track ongoing and upcoming projects such as but not limited to: House Rule Changes and updates (email updated house rules to owners and agents), Pool Repairs and modification, Monthly Pool Gate Code change, Quarterly Pest Treatment, Parking lot Pavement and Seal, Elevator Work and Replacement, Remodel Projects, H06 Insurance, Electric Meter Replacement, Maui Vista and Maui Coast Issues (mud and dirt in rear parking lot, debris on and near the rear fence between Pacific Shores and Maui Vista), Annual Bike Clean up, Lanai Railing Bolt Replacement , Walkway Railing Bolt Replacement, Lanai Sun Shade Research, Water Pressure Relief Valves, Roof Work and Siding Replacement.
- Coordinate owner construction projects and advise on requirements. Board Member will provide approval but all correspondence is through Site Manager
- Monitor owner submittal of Tenant registration including compliance with occupancy limits.
- Dealing with various issues, questions and requests from Owners, Residents, Guests, Agents, Contractors, Venders, BOD, Security, Real Estate Agents, and Loan officers.
- Familiarize with House Rules and Monitor and Track house rule violations, issue violations and fines, provide new owner/agent info
- Post Notices around the complex and Email notifications to owners and agents (Pool Closure, Board Meeting Notices, Pest Treatment, Tree Trimming, Water shut offs)
- Nightly updates with Security on various issues as necessary
- Quarterly walk arounds of the property every 3 calendar months. Walk arounds will be with a representative of HMC and Board member(s).
- Correspond and Communicate via work phone and email with owners, BOD and HMC
- Email Weekly Manager report to Board of Directors and HMC
- Attend all Board meetings and give a Manager update and present a report at the Annual General Meeting
- 90 day review (probationary period) and 6 month review and then a yearly reviews to maintain good communication.
