Job Description
This position manages and supports several administrative functions within the Office of the Chief Operating Officer (COO) of the Wealth Management Advisor Group. This position will report to the Vice President - Planning and Administration.
Key Responsibilities
Assist the SVP, Chief Operating Officer (COO) of the Wealth Management Advisor Group organization along with members of his team, to coordinate and manage all activities and functions critical to the day-to-day operation of the office of the COO.
Provide administrative support to leader, the COO and others as assigned - including calendar, expense management, travel planning, meeting planning, shipping, meeting prep, and more.
Act as backup and key partner of the Executive Assistant to the office of Bill Williams.
Support and assist with coordination and scheduling of various department and senior leader meetings within scope of COO or as delegated by Executive Assistant
Coordinate and help prepare various materials for leadership and help facilitate timely execution of deliverables
Provide on-boarding and off-boarding assistance as needed, including identifying office/desk space, requesting system and network access, ordering office equipment and supplies, etc.
Research, respond, and resolve questions regarding department processes, functions, and requests. Partner with other functional areas to quickly resolve issues and accomplish responsibilities.
Proactively point out areas where additional communication are warranted – within and outside of business unit.
Coordinate deadlines and inputs for the annual planning process; which includes focus on Investment Optimization (I/O), Business Metrics and Headcount Planning
Assist in the gathering of the business updates, metrics and other requirements to the office of the COO of the Wealth Management Advisor Group
Manage the coordination and tracking of information, programs and initiatives that support the organization using various systems and tools, including OneDrive, Share point, copilot, word, PowerPoint, and Excel
Coordinates communication to the COO organization - including staff meetings, huddles, etc.
Provide end to end management and support of events as assigned, including Town Halls, Offsites, employee onboarding, and other employee development sessions within the scope of the COO.
Help lead and participate in driving Employee Satisfaction action team and goals. Assist in communicating plan and goal achievement up to COO.
Interact with internal business partners to track, maintain, and communicate department information including facilities management, human capital tracking and business continuity updates.
Required Qualifications
Associate Degree; or 3-5 years of equivalent administrative and/or project management experience.
Adept at building positive and collaborative working relationships.
Highly organized with a strong attention to detail.
Capable of managing multiple tasks in a dynamic and fast paced environment.
Excellent communication skills.
Ability to handle/maintain private and confidential information with discretion.
Ability to work independently and take proactive initiative on work with little direction.
Critical thinking and problem-solving skills.
Proficiency with standard business hardware and software (including Microsoft Office products).

Base Pay Salary
The estimated base salary for this role is $66,700-$91,700 / year. We have a pay-for-performance compensation philosophy. Your initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. In addition, most of our roles are eligible for variable pay in the form of bonus, commissions, and/or long-term incentives depending on the role. We also have a competitive and comprehensive benefits program that supports all aspects of your health and well-being, including but not limited to vacation time, sick time, 401(k), and health, dental and life insurances.
