We are seeking a energetic, customer focused, TRANSPORTATION COORDINATOR to join our team out in Rancho Cucamonga, CA.

You will work to build trusting relationships and assure that patient movement is a seamless process that is done in a safe, timely, and appropriate manner.

Essential Duties And Responsibilities

  • Will help hospital staff with Level of Service (LOS) determination to help both the Hospital Staff and the Ambulance Crew understand why patient is moving at a particular LOS.
  • Ensure that all appropriate paperwork has been filled out, received and is complete and correct. The Transport Coordinator will not fill out any paperwork that the sending facility is responsible, but you will need to ensure the proper forms are filled out, in order, received by the Communications Center and/or ready for the crew prior to transport. For example: Physician Certification Statement (PCS), Certificate of Medical Necessity (CMN), Insurance authorizations and any other paperwork necessary for billing purposes or that the ambulance crew will need to have during transportation.
  • When appropriate, the Transport Coordinator will be required to make telephone contact with insurance carriers to request insurance authorizations, or to request that corrections be made to authorizations we have received.
  • Due to the importance of non-emergency transportation services when it comes to revenue stream, the Transport Coordinator will need to have intricate knowledge of insurance requirements, as it pertains to non-emergency ambulance transportation reimbursement.
  • Provides information regarding transportation services to physicians, nursing personnel in Hospital and health care facilities throughout our contracted service area.
  • Review non-emergency transports for the prior-day, same-day or next-day and ensure all paperwork has been received and is subsequently sent to the pre-billers.
  • During periods of high call volume, the Transport Coordinator will act as a back-up Call taker to avoid customers being placed in a call-queue awaiting a Call taker. Though the Transport Coordinator works in the Communications Center, the Transport Coordinator will not be trained to, nor placed in a Dispatcher role or assignment.
  • Be available to take calls from customers which may involve in-depth explanation of services, insurance requirement or booking of repetitive patients. This is meant to free-up Call takers to be available to handle Emergency Medical Dispatch (EMD) incidents, or so they may otherwise provide Dispatchers support and assistance with management of Emergency Calls and Call taking.
  • The Transport Coordinator will manage all incoming faxes to the Communications Center and will route such communications to the appropriate party or department.
  • Provide training and education to new-hire Dispatchers on the proper documentation and review of common documents so they may perform some of these roles during shifts where there is no Transport Coordinator on duty to manage themselves.
  • Assist callers who are paying for transportation services via credit/debit card (private pay) when the situation is such that insurance will not pay for services that insurance carriers deem unnecessary. This includes generating a price quote, based on rates which are set by our local EMS agency (ICEMA). This may also involve giving step-by-step instructions to the caller on how to access the AMR payment system so they can remit payment prior to transport.
  • Coordinate with Operations Supervisors so they may perform on-site evaluations for repetitive patients. The Transport Coordinator will then review their documentation and pair it with the repetitive patient PCS form, prior to forwarding this information to the AMR Repetitive Patient Transport team for final approval. The Transport Coordinator may also be required to coordinate with Operations when a patient has highly specialized equipment or care needs.

Required

MINIMUM QUALIFICATIONS:

  • Strong Customer Service background
  • High School Diploma or GED or equivalent

Preferred

  • Related experience providing dispatching and/or transportation services to hospital patients.
  • Experience working for a medical insurance carrier, especially if it involves reimbursement for ambulance transportation services.
  • EMS industry experience.
  • Bachelor’s degree in related field.
  • Medical Coding or Medical Billing experience.
  • Background of education, or experience, with Medical Terminology. To include those definitions and proper spelling.
