Part-Time Secretary & Accountant
Job Summary
We are seeking a proactive, detail-oriented Part-Time Secretary & Accountant to support our administrative and financial operations. This role focuses on several core responsibilities, with opportunities for expanded duties over time.
The ideal candidate is organized, communicative, and comfortable handling both office administration and accounting tasks in a manufacturing-related environment.
Primary responsibilities include spare parts order fulfillment, accounting and bookkeeping, shipping management, and general business administration. This position plays an important role in maintaining smooth daily operations and ensuring excellent customer support.
Responsibilities
Spare Parts Order Fulfillment:
We build and sell machinery used in manufacturing facilities, and customers regularly order replacement and spare parts. Responsibilities include tracking spare parts orders, sending invoices and quotes, coordinating with machine shops to manufacture parts, communicating with customers regarding order status, preparing packing slips, and occasionally packaging and shipping parts.
Accounting:
Using QuickBooks and other office tools, responsibilities include creating quotes and invoices, entering expenses and maintaining records, managing accounts payable and receivable, reconciling accounts, and keeping financial records balanced.
Business Administration:
Support general business operations including managing insurance-related needs, assisting with website updates and coordination, supporting hiring and onboarding activities, paying bills, organizing business records, and handling miscellaneous administrative tasks as needed.
Qualifications
Experience with QuickBooks or similar accounting software preferred but not required. Strong organizational and multitasking skills. Excellent written and verbal communication skills. Attention to detail and accuracy. Ability to work independently and manage priorities. Administrative, bookkeeping, or office management experience preferred.
