Position Overview
This role combines administrative support with construction bookkeeping responsibilities, including AIA-style billing, job costing, and vendor coordination.
The ideal candidate is comfortable working in a fast-paced construction environment and can manage both office tasks and financial records with accuracy.
****Key Responsibilities****
Administrative Duties
- Assist with filing, and document management
- Maintain organized digital and physical records
- Support project managers with documentation and coordination
Bookkeeping & Financial Tasks
- Manage Accounts Payable (AP) and Accounts Receivable (AR)
- Enter and reconcile transactions in QuickBooks online.
- Process vendor invoices, subcontractor payments, and expense tracking
- Perform bank and credit card reconciliations
- Assist with payroll coordination
Construction-Specific Duties
- Track job costs including labor, materials, and subcontractors
- Maintain accurate cost coding by project
- Assist with budget tracking and reporting
AIA Billing (Critical Function)
- Prepare and submit AIA G702 (Application for Payment) and G703 (Continuation Sheet)
- Track percent complete billing and stored materials
- Manage retainage tracking and release
- Coordinate with project managers to ensure accurate billing
- Follow up on outstanding invoices and payment status
Qualifications
Required:
- 2 years experience in administration, bookkeeping, or similar role
- Strong organizational and communication skills
- Proficiency in QuickBooks, Excel, and general office software
- Ability to multitask and manage deadlines
Preferred (Highly Valued):
- Experience in construction or roofing industry
- Familiarity with AIA billing procedures (G702/G703)
- Understanding of job costing and project-based accounting
- Experience working with subcontractors and supplier invoicing
