Executive Assistant

Position Summary
The Executive Assistant provides high-level administrative and organizational support to the Chief Executive Officer (CEO) and executive leadership team, including the CFO, Marketing Director, and VP of Operations. This role functions as a trusted partner and gatekeeper, enabling senior leaders to focus on strategic initiatives by managing schedules, communications, logistics, and critical administrative processes. The Executive Assistant must demonstrate exceptional discretion, professionalism, and organizational skill while operating in a fast-paced, multi-functional environment.
This position is part of Akralos Animal Nutrition. Akralos is a new North America joint venture between Alltech and ADM with 43 feed manufacturing locations in the United States and Canada. By uniting decades of progress and trusted partnership, we are committed to delivering practical solutions that give our customers an advantage in today’s highly competitive animal nutrition market.
Key Responsibilities
- Manage complex calendars and scheduling for multiple executives, ensuring priorities are aligned and conflicts are proactively resolved.
- Coordinate travel arrangements, including flights, lodging, transportation, and detailed itineraries.
- Serve as the primary point of contact for executive communications; screen and prioritize emails, calls, and correspondence.
- Prepare, proofread, and format presentations, reports, agendas, and other executive-level materials.
- Support board meetings and leadership meetings, including scheduling, agenda preparation, materials distribution, and follow-up actions.
- Coordinate internal and external meetings, conferences, and events.
- Track action items, deadlines, and follow-ups on behalf of the executive team.
- Prepare and manage expense reports and basic financial tracking.
- Maintain highly organized document management and filing systems.
- Liaise with internal departments and external partners to facilitate effective communication.
- Support special projects and ad hoc initiatives as assigned by executive leadership.
- Handle confidential, sensitive, and proprietary information with discretion and professionalism.
Required Skills & Abilities

Education & Experience
- Bachelor’s degree in Business Administration, Communications, or related field preferred.
- Minimum of 3–5 years of experience supporting senior management or C-suite executives.
- Demonstrated experience managing calendars, travel, and executive communications.
- Experience supporting multiple executives simultaneously is highly preferred.
Work Environment & Physical Requirements
This position is based at Alltech’s global headquarters in a professional office environment requiring professional business dress. The role requires frequent interaction with senior leaders, employees, and external stakeholders. Sitting for extended periods of time, use of a computer and monitors for extended periods, and extensive work through Microsoft Teams. Occasional travel may be required.
