What are the responsibilities and job description for the Project Management Administrator position at Alliance Bank?
POSITION PURPOSE
This position is responsible for monitoring ongoing project functions, budget, timeline, and determining the success of the project post project completion. Includes working with Project Owner’s in acquiring resources and coordinating the efforts of internal team members and third-party contractors or consultants in order to deliver projects according to plan. The incumbent is primary back up for security functions and Senior Operations Officer. This employee offers the customer the highest degree of service and promotes all Alliance Bank’s products and services.
SKILLS, KNOWLEDGE, AND PHYSICAL REQUIREMENTS
1. Ability to read, write and speak the English language, bilingual helpful.
2. Ability to respond to customer requests with tact, diplomacy, and a sense of urgency.
3. Four (4) years’ experience in banking or a job-related field and one (2) year of training and/or education in the field or a combination of education and experience providing equivalent knowledge.
Project management experience in all phases of project life cycle from project planning to project completion.
Ability to complete all required training for Business Continuity Planning.
7. Proven ability to complete projects according to outlined scope, budget, and timeline.
8. Proven ability to solve problems creatively.
9. Experience seeing projects through the full life cycle.
10. Excellent analytical skills.
11. Strong interpersonal skills and extremely resourceful.
12. Strong familiarity with project management software tools, methodologies, and best practices.
13. Previous supervisory or management experience.
14. Ability to operate basic office equipment including a PC with job-related software.
15. Working knowledge of Microsoft Excel and MS Word; must be able to do simple math and carry out written instructions.
16. Must be able to travel regularly from location to location.
17. Ability to handle bank and customer transactions with a high level of confidentiality.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

5. Responsible for project management including monitoring and reporting on projects, including but not limited to the following tasks:
a. Coordinate project manager/owner communications.
b. Analyze and coordinate resources needed to reach objectives and manage resources in an effective and efficient manner.
c. Develop a formalized project process to assist in managing a detailed project assessment and implementation plan.
d. Provide project updates to the Executive Committee on a consistent basis regarding strategy, adjustments, and progress.
e. Manage executed vendor contracts by monitoring expected deliverables and contract renewal dates.
f. Utilize industry best practices, techniques, and standards throughout entire project execution.
g. Monitor project progress and adjust as needed.
h. Measure project performance to identify areas for improvement.
i. Manage, monitor, and train users on the project management software to ensure appropriate use.
j. Reflect back on Alliance Bank’s strategic plan to ensure alignment with projects.
k. Manage changes, process reviews, or compliance initiatives as required.
6. Within projects management, responsible for:
a. Determining and defining project scope and objectives.
b. Preparing and tracking the budget and project costs based on scope of work and resource requirements in order to meet budget.
7. Assess, research, and evaluate various products, services, and procedures.
a. Prepare analysis & presentations on products/processes.
8. Oversee the bank’s user group.
9. Prepare monthly management reports, provide administrative support, and assist with project management as needed for operations support, physical security, fraud, electronic payments, and other functional areas under the Senior Operations Officer.
10. Assist with the bank’s Business Continuity Plan including, but not limited to, branch training, testing, and tabletop exercises.
11. Ability to perform the functions in the security area in frontline or backup capacity as needed including after hours support in cases where a branch does not respond, systems and user support training for staff, and monitor projects assigned to Operations Support for the security department.
12. Collaborate with Vendor management:
a. To monitor contract renewals and be sure that we are reviewing products in advance, giving proper notice to vendors, and determining which contracts require a project.
b. Streamline risk assessment process to be sure all aspects are covered.
13. Report & Data Systems
a. Prepare/update reports from various report-writing systems.
b. Work with other departments to automate reporting processes.
c. Perform data validation for projects when required.
14. Assist/backup Digital Department and other operations departments.
15. Keep updated on all Alliance Bank policies and procedures pertaining to this position.
16. Attendance and punctuality a must.
