Job Description
We are seeking a dependable, organized and resourceful Executive & Personal Assistant to support an entrepreneur managing three active companies. This position combines customer service, sales support, social media, market research, job-site coordination and occasional personal-assistant responsibilities.
Responsibilities
Answer customer calls and respond to emails, text messages and inquiries.
Schedule appointments and coordinate with customers, technicians and vendors.
Follow up on estimates, sales leads and ongoing projects.
Make occasional cold calls to potential and previous customers.
Assist with lead generation and customer outreach campaigns.
Securely process customer credit-card payments, issue receipts and accurately record payments.
Maintain organized customer records, notes and follow-up lists.
Travel to job sites throughout Long Island to take photographs and record videos.
Edit photographs and short videos for marketing purposes.
Create and publish basic social media posts for the companies.
Monitor social media messages, comments and customer inquiries.
Conduct market research on competitors, pricing, customer demand, industry trends, products, services and potential business opportunities.
Prepare brief research reports and recommendations for the owner.
Assist with emails, documents, scheduling and daily administrative duties.
Handle special projects and operational tasks on behalf of the owner.
Complete occasional business and personal errands.
Provide occasional childcare or school pickup when required.
Maintain professionalism and confidentiality at all times.
Qualifications
Minimum of three years of experience in residential construction or the home-services industry required; five years preferred.
Familiarity with construction terminology, estimates, materials and project coordination.
Previous personal-assistant, administrative, customer-service or sales experience preferred.
Strong communication, organization, research and multitasking skills.
Professional and friendly telephone and email manner.
Comfortable making outbound and cold calls.
Basic social media, photography and video-editing skills.
Proficiency with email, Microsoft Office and Google Workspace.
Ability to work independently and complete tasks without constant supervision.
Valid driver’s license and clean driving record.
Ability to travel throughout Long Island when required.
Successful background check required due to occasional childcare responsibilities.
HVAC, plumbing, construction, sales or marketing experience is a plus.
Compensation and Benefits
$25–$28 per hour, depending on experience and qualifications.
Paid time off.
Company vehicle, fuel and tolls provided for authorized business travel.
Eligibility for a performance-based increase following a 90-day review.
Occasional overtime may be available or required based on business needs and will be paid in accordance with applicable New York labor laws.
Pay: $25.00 - $28.00 per hour
Expected hours: 40.0 – 50.0 per week
