Essential Job Duties
Executive Support
- Manage complex calendars across multiple time zones, prioritizing strategic alignment.
- Coordinate domestic and international travel, including detailed itineraries and contingency planning.
- Prepare executives for meetings with briefing materials, agendas, presentations, and follow-ups.
- Draft, review, and manage correspondence on behalf of the executive.
- Track key action items and ensure follow-through on strategic initiatives.
- Serve as liaison between executive leadership and internal/external stakeholders.
- Assist with board meeting preparation, investor communications, and leadership offsites.
- Support annual planning cycles, quarterly business reviews, and executive reporting.
- Monitor key projects and provide status updates to leadership.
- Conduct research and compile data to support decision-making.
- Facilitate communication across departments to ensure alignment.
- Manage confidential communications and sensitive information.
- Coordinate executive-level meetings, including agenda creation and minutes.
- Support internal announcements and executive messaging.
- Oversee expense reporting and budget tracking for executive functions.
- Manage contracts, documentation, and records.
- Coordinate with HR on onboarding senior hires.
- Maintain executive CRM or stakeholder databases if applicable.
Education
- High School diploma or GED required.
- Bachelor’s Degree preferred.
- 5 – 10 years of experience supporting C-level executives, preferably in a mid-size or growth-stage company required.
- Experience in a $100M revenue company or private equity-backed organization preferred.
- Advanced proficiency in Microsoft Office, Google Workspace, and presentation tools.
- Minimal travel required – most travel within 30 miles across 3 sites.
- Exceptional organizational and time management skills.

Salary : $70,000 - $90,000
