What You'll Do
Operate as the Executive's Right Hand
- Manage and prioritize calendar, inbox, and communications
- Act as a gatekeeper — filtering what reaches the executive
- Prepare meetings with clear agendas and outcomes
- Ensure priorities are executed without constant follow-up
- Coordinate real estate deals (deadlines, wires, closing timelines)
- Track multiple moving priorities across acquisitions, operations, and projects
- Communicate with agents, attorneys, lenders, and vendors (Spanish English)
- Ensure nothing slips — you own follow-through
- Build and maintain systems for task tracking, workflows, and follow-ups
- Identify inefficiencies and fix them proactively
- Create structure across multiple business lines
- Review expenses, invoices, and payments
- Flag inconsistencies before they become problems
- Maintain organized records across all entities
- The executive does not need to follow up
- Problems are solved before they escalate
- Priorities move forward without constant direction
- Everything is organized, tracked, and handled
- Fluent in English and Spanish (non-negotiable)
- Based in Miami and able to work fully in-office
- 2 years in an Executive Assistant, Operations, or similar high-trust role
- Experience in real estate or fast-paced environments preferred
- Comfortable handling time-sensitive tasks (contracts, wires, deadlines)
- Proficient with tools like Google Workspace, Asana, CRM systems, QuickBooks (or similar)
