Job Summary:
The Materials & Equipment Coordinator supports the efficient management of project materials, heavy equipment, and project documentation. This position is responsible for receiving, inspecting, tracking, storing, and maintaining materials and equipment while coordinating logistics to support project teams. The ideal candidate is organized, detail-oriented, and comfortable working in construction trailers, jobsites, and outdoor field environments. This position works closely with project teams and may receive day-to-day direction from Project Managers, Superintendents, and the Project Coordinator based on project needs.
Duties/Responsibilities
- Assist with the preparation, organization, and maintenance of Operations & Maintenance (O&M) manuals and project documentation.
- Maintain accurate material documentation, including receiving records, inventory logs, and equipment tracking.
- Receive, inspect, document, and organize deliveries of heavy equipment and materials.
- Ensure equipment and materials are stored properly to prevent damage and allow efficient access.
- Perform periodic inspections and preventative maintenance on stored equipment, including rotating motors, exercising valves, and other manufacturer-recommended preservation activities.
- Ensure materials and equipment are properly protected from weather and environmental conditions.
- Assist with scheduling, receiving, and delivering materials and equipment to project sites.
- Manage rental equipment, including tracking rental periods, coordinating returns, maintaining documentation, and communicating with vendors.
- Perform periodic inventory counts and reconcile materials, tools, and equipment.
- Report damaged, missing, or defective materials and equipment and resolve discrepancies.
- Maintain organized inventory and storage areas.
- Coordinate with project managers, field personnel, vendors, and warehouse staff to support project needs.
- Follow all company safety policies and procedures.
- Perform other related duties as assigned.
Qualifications:
- High school diploma or equivalent required.
- Experience in warehouse operations, construction, industrial, manufacturing, or materials management preferred.
- Strong organizational and documentation skills.
- Ability to operate or learn material handling equipment such as forklifts (certification preferred or willingness to obtain).
- Basic computer proficiency, including Microsoft Office applications.
- Ability to read packing slips, shipping documents, and equipment documentation.
- Strong communication and problem-solving skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
Requirements:
· Reliable transportation to and from job site.
· Walk, lift, reach, stoop, stand, grasp, balance, climb, kneel, crouch, and frequently lift up to 50 pounds.
· Ability to do physical labor and other strenuous physical tasks.
· Willingness to work in various weather conditions and environments.
· Move From job to job as projects progress.
· Safely operate forklifts and other material handling equipment.
· Wear required personal protective equipment (PPE) and comply with all company safety policies and jobsite requirements.
