Job Description
POSITION SUMMARY: The Records Information Manager is responsible for overseeing the organization, preservation, digitization, and lifecycle management of records. This role focuses on transitioning physical records into secure, accessible digital formats and maintaining robust electronic records management systems.
KEY or ESSENTIAL FUNCTIONS:
The essential functions of the position include but are not limited to the following:

Records Management & Compliance
- Develop, implement, and maintain records management policies and procedures in compliance with legal, regulatory, and organizational requirements
- Establish retention schedules and ensure proper classification, storage, and disposal of records and ensure compliance with industry regulations
- Conduct regular audits to ensure integrity, security, and compliance

Electronic Records Systems
- Lead digitization initiatives, including scanning, indexing, metadata creation, and quality control
- Manage and optimize document management system (DMS)
- Collaborating with IT teams on cybersecurity and system integration

Archival Preservation
- Ensure long-term preservation of both digital and physical records
- Apply archival best practices for handling sensitive or historical materials and antiques
- Maintain accurate inventories and catalogs of archival holdings

Training & Support
- Train staff on records management policies, digitization practices, and electronic filing systems
- Provide guidance on proper document handling, storage, and retrieval
SECONDARY FUNCTIONS:
Secondary functions of this position include but are not limited to the following:
- Assisting with photo archive and restoration projects
- Other duties as assigned
QUALIFICATIONS/REQUIREMENTS:
Education & Experience
- Bachelor’s degree (or the work equivalent) in Information Management, Library Science, Archival Studies, or related field
- 3–7 years of experience in records management, archives, or digital information management
- Experience with digitization projects and electronic records systems is required
Technical Skills
- Proficiency with EDRMS, document management systems, or cloud-based storage platforms
- Knowledge of scanning technologies, OCR, and metadata standards
- Familiarity with data privacy regulations and records compliance requirements

EQUIPMENT UTILIZED:
Duties of this position will require regular use of a desktop computer, keyboard, mouse, telephone, printer and other office equipment as required for the job.
PHYSICAL REQUIREMENTS:
Must be able to lift up to 50 pounds without assistance, sit/stand for long periods of time (depending on preferred workstation type). This position is mainly a sedentary position.
MENTAL REQUIREMENTS:
Must be organized, discreet, self-motivated, and able to work for long periods of time independently and with little to no interaction. Must have strong communications skills (written and verbal) and the ability to prioritize workload and shift easily between tasks as needed
