Description

Responsible for high-level administrative and technical work managing the agency’s physical access control systems and federal compliance programs. Duties include managing the lifecycle of electronic credentials, vetting personnel and contractors, conducting security audits, and serving as the primary liaison for CJIS (Criminal Justice Information Systems) standards. This position requires exceptional judgment, self-initiative, attention to detail, and the ability to interpret complex federal regulatory frameworks.

Work is performed under the supervision of the Records Bureau Chief. Performance is evaluated through observation, results obtained (including audit success), appropriate employee performance appraisals, and oral/written reports.

Examples of Duties

  • Coordinate the processing and tracking of unescorted building access in accordance with the Federal Bureau of Investigation (FBI) Criminal Justice Information Systems (CJIS) security policy requirements
  • Manage CJIS Security Awareness Training for all agency employees, inactivating profiles as necessary and conducting follow-up to ensure all agency personnel maintain the appropriate CJIS certification
  • Serve as a point of contact for FDLE/FBI auditors; maintain an “audit-ready” database to ensure the agency retains access certification
  • Route access determinations for Undersheriff approval and verify required CJIS Online certifications are completed for all credential holders
  • Conduct monthly system integrity audits to identify and remove inactive personnel and ensure compliance with the FBI-mandated 5-day window for database removals
  • Manage the background screening process for all external vendors to ensure no unescorted access violations occur within sensitive facilities
  • Prepare and maintain complex logs, files, and reports regarding facility access and vetting results to ensure a transparent audit trail
  • Assist with bureau tasks and responsibilities as needed

Typical Qualifications

EDUCATIONAL REQUIREMENTS:

High School Diploma or GEDRequiredAssociate's DegreePreferredPreferred Major(s): Administration, English, Records Management, or other related field

Experience And Training

  • Type 35 correct words per minute or better
  • Two (2) or more years of clerical and criminal justice experience, preferably in a Sheriff’s Office or other law enforcement agency
  • Experience with a variety of office machines and computers
  • Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint)
  • Knowledge of database management
  • Any combination of education and experience which provides the necessary knowledge, skills, and abilities

CERTIFICATION AND LICENSING:

  • Possess or obtain the following within six months of hire:
    • Criminal Justice Information Systems (CJIS) Security Awareness certification
    • Driver and Vehicle Information Database (DAVID) certification
    • Falcon/NCIC/FCIC Database Access Authorizations as required
